They are looking for someone who has previous experience working in a fast-paced role in financial services/politics and works to help the CEO's by being one step ahead. This role requires someone confident, reliable, and not afraid to express their opinions to senior leadership if they have information that will help improve processes and procedures. What also is required is office management i.e. reports, compliance, any other technical initiative, and marketing. In this position, you should feel comfortable coordinating calendar appointments, managing communications, and planning events, as necessary.

Must be able to understand french law and culture
Must have experience in technical aspects of different databases, CRMs, Notion, Salesforce, accountancy
Schedule travel Planning eventsExtensive diary management and Microsoft suite Work with PR and external partners and marketing worked closely with the Events Team and Internal Communications to plan for worldwide events
Attended regular meetings with Facilities and IT to ensure the smooth running of the London office Managing strategic, personal, and business-critical information sensitively and discretely
This person must be able to communicate in French and write in high-level French and English, other languages will be a bonusManaging the CEO diaries and CalendarsSpeaking with external stakeholders and respondingHelping with documents, analysis, and coordination
Reviewing legal contractsLiaison with international & and external clients accounts due diligence
Understanding of French regulationsCoordinating numerous high-profile meetingsCoordinating high volumes of conference call management of all travel arrangementsDealing with external legal information/documentation that will support the business
Weekly planning look through the database and company CRM system and update research and go through the database and CV (recruitment)Setting up conferences and being client-facing dealing with Internal & and external finances being ahead on compliance and managing the CEO's full activities and booking high-quality communication expertise work on HR-related topicsSearch for CV and compliance must be fast and efficient dealing with international clients, London, Europe, and the USA predominantlyOrganizing flights and hotels and any travel personal matters and personal PA tasks manage time zone - EU, London USA, and AsiaProducing presentation materials and agendas
Research and analysis of overall office management manage compliance calendars internal & and external ordering stockBe an expert on the firm internal CRM Liaising with internal or external customers, suppliers, and clients personal itinerary for the CEO

Calendar management Diary management setting up and organizing meetingsResearch/ biographiesEmail management: answering, step by stemData inputtingManage CRM & data management logistics: book hotels, trains, restaurants, ask for discounted rates/negotiation, etcCover sheet: Arrange Payments to external service providers: gather/update, prepare list for validation, paymentPayrolls: help manage Payfit, preparation for validation, and then payment from Qonto or else; also preparation for validation and payment of restaurant ticketsClient invoicing: prepare the list for validation, establish invoices internationallyExpenses report of the CEO: validation in JenJ and payment from QontoRegular recording and updating of business finance excel sheets/balance sheetsConnect with the company accountants for relevant matters, also lawyers if needed assistance on legal administration: link with complementary health insurance,Drafting of prospects/clients contracts and amendment contracts (from a template with instructions from CEO)Drafting of subcontractors' and employees' contracts and amendments (from a template with instructions from CEO)Keep a library of templates, contracts, and all relevant documents: keep the administrative files clean and organized presentation proofreading/presentation skills (spelling, look, formats)
Ability to handle multiple tasks while staying organized Strong typing speed Strong in ITExtensive data entryCan read, write, and speak in French and English
