Your Role

As an Executive Assistant at Swiipr, based in London, you'll provide unparalleled support to our CEO and Chairman. In this mission-critical role, you'll be the linchpin of our leadership team, ensuring their days run smoothly and efficiently, anticipate needs, coordinate schedules, thereby driving our mission to redefine travel disruption solutions.

What You'll Do

Executive Support: Provide comprehensive 1:1 support to the CEO and Chairman, including managing complex calendars, scheduling meetings, and coordinating travel arrangements.

Strategic Partner: Anticipate the needs of our leadership team, proactively identifying opportunities to streamline processes and enhance productivity.

Communication Hub: Serve as the primary point of contact for internal and external stakeholders, demonstrating professionalism and discretion in all interactions.

Project Coordination: Assist in the planning and execution of key initiatives, from preparing meeting materials to following up on action items.

Problem Solver: Navigate challenges with ease, leveraging your resourcefulness and quick thinking to find effective solutions.

Confidentiality: Handle sensitive information with the utmost confidentiality and integrity, maintaining trust and professionalism at all times.

Personal Duties: Liaise with family office and support personal matters as necessary, ensuring seamless integration of personal and professional responsibilities.

Experience Requirements

Proven Track Record: Candidates should have a solid track record of success as an Executive Assistant, preferably with experience supporting C-suite executives or senior leadership within a dynamic and fast-paced environment. This experience demonstrates the ability to handle high-pressure situations, manage confidential information, and provide top-tier support to executives.

Minimum of 5 Years Experience: A minimum of 3 years of relevant experience is required to ensure candidates have developed the necessary skills and competencies to excel in this role. This level of experience typically indicates a solid foundation in executive support, including managing complex calendars, coordinating travel arrangements, and handling various administrative tasks efficiently.

Executive-Level Support: Candidates should have experience providing comprehensive 1:1 support to senior executives, including CEOs, Chairmen, or founders. This involves managing busy schedules, anticipating the needs of the executives, and proactively addressing any challenges or issues that may arise.

Highly Organized: Successful candidates will demonstrate exceptional organizational skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet tight deadlines. Experience in managing complex calendars, scheduling meetings, and coordinating logistics for events or travel arrangements is essential.

Effective Communication: Strong written and verbal communication skills are essential for effective interaction with internal and external stakeholders. Experience in drafting professional correspondence, preparing reports, and communicating complex information clearly and concisely is highly valued.

Discretion and Confidentiality: Experience handling sensitive information with the utmost discretion and confidentiality is crucial in this role. Candidates should demonstrate a track record of maintaining confidentiality while handling confidential documents, discussions, and personal matters for senior executives.

Tech Savvy: Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) is typically required, along with the ability to quickly learn and adapt to new technologies and software tools as needed. Experience with calendar management software, project management tools, or CRM systems may be advantageous.

Qualification Requirements

There is not a strict qualification criteria for this role, as we are placing more emphasis on a candidate's demonstrable experience and soft skills.

However, certain qualifications or certifications can demonstrate a candidate's expertise and commitment to the field, and be beneficial for the role, such as:
