Job Title:

PA & Administrator


Reporting Line:

This role reports into the Head of Administration & Production Partner Recruitment. This role has a dotted line to the Managing Director.

Department / Division: Business Affairs.

Role Type: PA / No Direct Reports.


Responsible For:

The role of Personal Assistant (PA) and Administrator will have a proven track record of managing the schedules and communications of a Senior Leadership Team (SLT) including the Managing Director (MD). This role will also ensure assistance with our Administration team.


Role Duties:

  • Daily management of the MD and other SLT members diaries. Booking meetings for these members with clients and suppliers.
  • Fielding calls and emails for the MD, including some direct response and replies on their behalf.
  • Working with the Marketing Manager to arrange client events such as trade shows and restaurant bookings. The PA will also be responsible for arranging all staff events such as quarterly and annual business reviews and Christmas Parties.
  • Preparations of presentations being delivered by SLT members.
  • Meeting documentation / note taking and follow up of meeting reports.
  • Travel arrangements of SLT members including flights, taxis, accommodation and visa appointments.
  • Responding to client emails in our administration inbox and all tasks required by the Head of Administration.
  • Working with our clients to book travel arrangements and couriers for Production Partners who will be travelling on location.
  • Being a key member of the Business Affairs team, providing administration assistance where required to ensure the smooth running of each project. This could involve but not limited to crewing teams, logistics, uniform etc.


Experience:

ESSENTIAL:

A minimum of 3 years experience as PA working with SLT members or equivalent. A proven track record of email, diary and scheduling management of senior members as well as making travel arrangements.

Proficient IT skills particularly in relation to preparing presentations.

Whilst this is a non-people management role, you will be required to work across departments, requesting resources and input for events and presentations and time from all areas of the business, so it is essential that you have experience of managing both up and down as an PA or PA.


DESIRABLE:

Working at a SME sized company.

Event management including Client and Staff events.

Previous knowledge of working on a CRM system such as Salesforce or ZenDesk.

This role would suit either full time (40 hours per week) or part time (minimum 25-30 hours per week)

Work Location:

Kingston Upon Thames, SW London. This role is primarily office based but home working of 1-2 days per week available.


Salary & Benefits:

£30,000 to £32,000 per annum depending on experience.

A profit share bonus scheme of 5% based on salary and the profit pot achieved.
