About the Position

Reporting to the Global Field Marketing Manager, the Field Marketing Coordinator – Europe, is part of the Global Marketing team to deliver events and field marketing initiatives for Energy Exemplar and its clients. This role will handle event logistics including venue management, event production, food and beverage, and content while partnering closely with key internal stakeholders and external vendors. Additionally, this position will support broader field marketing activities such as regional campaigns, local brand activation, and market outreach programs to drive pipeline generation in the region. The candidate requires meticulous project management skills, a solutions-driven mindset, and the capacity to uphold the company’s mission and vision with every event and marketing initiative.

Key Accountabilities and Duties

The following list sets an expectation of the 'core' responsibilities of the role but is not exhaustive. As a rapidly growing business, the role and associated tasks will likely evolve over time, and there will be situations where tasks not listed below will need to be undertaken to support region and business growth initiatives.


Prep:

  • Develop a complete understanding of the requirements for every event and marketing initiative.
  • Build & maintain a regional events and marketing calendar with input from Solutions & Sales teams, in partnership with the Regional SVP.
  • Define, develop, implement & execute all aspects of marketing events, trade show processes, and field marketing activities including (but not limited to) logistics, event conference, registration, speaker management, catering, accommodation, etc.
  • Support the execution of regional marketing campaigns and local brand activation initiatives.

Design:

  • Research vendors and make selections based on their creativity, quality, and cost.
  • Develop & maintain the event and marketing budget, ensuring expenses do not exceed approved budgets.
  • Coordinate with cross-functional teams including Marketing, Sales, and Solutions to ensure alignment with regional goals & objectives. Communicate project requirements, timelines, status & information to all stakeholders.
  • Develop project plans, timelines, and critical paths and run of show (where appropriate) for each event and marketing initiative, ensuring all stakeholders are aligned & informed.
  • Prepare and manage event materials including signage, registration & promotional materials.
  • Create social media content to publicize events and marketing initiatives, driving attendee and customer engagement.
  • Manage tradeshow vendor in the development of booth design & graphics.
  • Venue Management: draft and finalize contracts, audio visual requirements, and lock down day-of logistics.
  • Manage event registration for each event.
  • Assist in the execution of local market outreach programs.

Execute:

  • Handle day-to-day administration of events, programs, and field marketing activities including order placements, BEO reviews, vendor monitoring, travel planning, restaurant reservations, attendee participation, registration counts, RSVP tracking, and issues resolution.
  • Attend events and marketing activities, acting as the go-to person onsite for the internal team & external stakeholders with a full understanding of all schedules & deliverables (where appropriate).
  • Analyze event and marketing feedback & suggest methods to improve future initiatives.
  • Ensure all pipeline generation from the event is logged in CRM
  • Create close-out reports with ROI information to be reported to the executive leadership team

Candidate Requirements


Skills, Knowledge and Experience:

  • Experience in event planning, event coordination, and field marketing in a corporate environment.
  • Prior experience working with colleagues in graphic design, sales, marketing, and communications.
  • Proven project management skills with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Results-oriented drive and a solid work ethic.
  • Outstanding written and verbal communications skills.
  • Ability to remain calm under pressure and maintain a customer-service mindset.
  • Flexibility and adaptability to work independently, take ownership of projects, and thrive in a fast-paced, dynamic environment.
  • Established relationships with vendors.
  • Experience in managing budgets and tracking expenses.
  • Willingness to travel domestically and internationally, as needed.
  • Self-motivated and highly collaborative
  • Advanced knowledge of PowerPoint, Acrobat, Excel, and HubSpot (or similar CRM).

Qualifications:

  • Bachelor’s degree (or equivalent) in hospitality management, public relations, marketing, or a related field.
