A leading managing agent with a reputation for delivering exceptional service is seeking a dedicated Administrative Support professional. The successful candidate will assist a team of Facilities Managers in overseeing the daily operations of a varied property portfolio, ensuring excellent service delivery and maintaining high compliance standards.


Key Responsibilities


  • Administrative Assistance: Provide comprehensive support to the Facilities Management team, including raising purchase orders, processing invoices, and maintaining up-to-date emergency contact lists.
  • Operational Coordination: Facilitate communication with contractors and tenants, schedule maintenance visits, and manage diaries for site inspections and meetings.
  • Compliance Support: Help the team ensure full statutory compliance across all managed properties.
  • Helpdesk Service: Act as the primary point of contact for facility-related queries, providing a responsive and effective helpdesk function.
  • Site Inspections: Conduct on-site visits for health and safety checks, meter readings, and other necessary inspections.
  • Record Management: Maintain accurate records, prepare meeting agendas, and document minutes as required.
  • Team Support: Provide coverage for the Facilities Management team during absences across various sites.


Scope of Work


  • Support the management of approximately six properties, based primarily in the Woking area.
  • Collaborate with a wide range of stakeholders, including maintenance contractors, security providers, health and safety consultants, and property occupiers.


Candidate requirements:


  • A valid driving licence and access to a vehicle.
  • Proven experience in administrative roles with strong organisational skills.
  • Excellent communication abilities and a professional, approachable demeanour.
  • Attention to detail, self-motivation, and a proactive attitude.
  • Proficiency in MS Office applications.
  • Experience in facilities management or helpdesk support is desirable.
