Role Summary:

Change Management is critical to the success of any deployment; this role will lead the Change Management strategy for Workday HRIS implementation and adoption. You will be required to work closely with provider to drive project delivery to time, cost, quality, and scope targets.

Utilise HRIS knowledge to take advantage of standard functionality and best practice to reduce complexity and inefficiency. Establish training and communication plans to address change impacts. This role is accountable for managing project resources, 3rd party interactions and external dependencies as well as work with Executive Sponsor and SteerCo to remove internal barriers to success.

Duration: 6-9 months

Responsibilities

  • Lead Change Management strategy for Workday HRIS implementation
  • Work with provider to develop and maintain detailed project plan with responsible owners and due dates
  • Ensure required business resource is identified and available for project activities including data validation, end-user testing and training
  • Define end-user training requirements and training plan for impacted colleagues at all locations across the organisation
  • Work with Workstream Leads (WSL) and Subject Matter Experts (SMEs) to provide required functional configuration parameters in prescribed format to provider
  • Work with WSLs to optimise processes in order to utilise Workday’s standard business processes and minimize customisation
  • Work with business analyst to capture key variations from current state to future state and ensure ‘to-be’ processes are well defined and documented
  • Identify training needs and develop training plans to support colleagues to transition to new ways of working
  • In conjunction with SMEs conduct audit of functionality already deployed vs Workdays delivered functionality and identify any customisation
  • Identify business specific requirements and as necessary manage the Change Control Process with the provider for changes to scope, timeline or requirements
  • Manage weekly internal project meeting – prepare status report, capture actions, risks and issues
  • Run monthly project steering committee meeting and provide input to monthly change board
  • Manage risks and issues log and escalation process to appropriate level as required
  • Own the plan for Go-Live of new modules, work with provider to develop deployment plan for system and all associated business activity including communication and training plan for hourly paid staff.

Selection Criteria/Person Specification

Essential:

  • Professional qualifications in project and / or programme management
  • Project / programme management experience for a minimum of five years
  • HRIS deployment expertise
  • Competency in utilising project management software tools and methodologies
  • Proven experience of significant HRIS project delivery, to demonstrate a credible track record.
  • Thorough understanding of project management techniques and methodologies
  • Experience and successful track record in stakeholder engagement and management, with proven ability to manage relationships with a diverse range of stakeholders
  • Knowledge and experience of budget development, management and evaluation
  • Influencing, motivating and leadership skills, with an ability to deliver change
  • Ability to navigate senior stakeholder relationships
  • Excellent knowledge of MS Office and of project management software
  • Strong written and verbal communication skills, with the ability to articulate complex ideas to a variety of audiences.
  • Strong analytical, problem-solving, and presentation skills
  • Proactive, tenacious, and results driven

Desirable:

  • Experience of using Smartsheets as a project management tool
  • Experience of deployment of Workday HRIS
  • Familiarity with JIRA
