From bespoke residential projects to large-scale commercial projects, we design, supply, install and maintain a wide variety of security solutions including Gates, Fencing, CCTV, access control, and burglar/intruder alarm systems. Role Description

This is a full-time on-site role for an Executive Administrative Assistant to the Sales Managers. The Executive Administrative Assistant will provide

·        Support to the Sales Managers, being proactive with sales and upselling and chasing leads, where appropriate.

·        Looking ahead and be aware of the bigger picture when planning site visits

·        Prepare tender documents.

·        Photos - download site photos and rename with date & initials.

·        Photos - file onto SfIT.

·        Manage the info@ inbox & sales@ inbox.

·        Check & file site reports.

·        Raise new enquiries on simPro.

·        Arrange site visits and prepare schedules for the Sales Managers.

·        Prepare draft quotes for sales managers.

·        Assist with completion paperwork i.e. O&M Manuals.

·        Prepare invoices once job complete.

·        Contact clients for feedback post completion.

·        Record & update enquiries on Sales Tracker and update simPro.

·        Purchase orders - raise & send as required.

·        Update Projects Diary onto Team Labour Timesheet.

·        Daily post - open & sort.

·        Scan & file completed job bags.

·        Daily review of appropriate portals & register interest for works.

·        Create site maps.

·        File and check iAuditor reports to align with quotes for wellbeing facilities etc needed as per quotes.

·        Close down lost & dead enquiries – simPro & Sales Tracker.

Qualifications

  • Executive Administrative Assistance, Administrative Assistance, and Executive Support skills
  • Excellent communication skills, both written and verbal
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to prioritize and handle multiple tasks simultaneously
  • Attention to detail and accuracy
  • Able to maintain confidentiality and handle sensitive information
  • Experience in the security industry or sales is a plus
