Due to continuing international growth ROVOP have an exciting opportunity for a Travel Coordinator to join our team, based in Westhill.


The Travel Coordinator will take ownership of all aspects of the Company’s travel requirements. Reporting to the Crewing Team Lead.

 

Key duties and responsibilities include, but are not limited to:

 

  • In conjunction with ROVOP travel supplier, source and book cost effective travel for employees, including flights, accommodations, transportation, and any other necessary arrangements
  • Ensure that purchase orders are raised and approved for all travel and accommodation bookings
  • Advise employees on travel policies, visa requirements, and any necessary documentation needed for their travel
  • Prepare and distribute travel itineraries, including all relevant details such as flight information, hotel reservations, car rentals, and meeting schedules
  • Ensure all travel arrangements are accurate, complete, and aligned with the traveller's preferences and requirements
  • Ensure that travellers meet the requirements for travel (with support from ROVOPs immigration advisors and travel supplier) e.g. they have the relevant visa clearance, vaccinations and passport validity
  • Manage, track and reconciling invoices, to ensure compliance with company policies and budgetary constraints
  • Assist employees in resolving any travel-related issues or emergencies, including flight cancellations, missed connections, lost luggage, etc
  • Record, maintain and update in coordination with ROVOP's travel supplier; employee travel profiles, including preferences, frequent flyer accounts, passport details, and other relevant information ensuring safety and time effectiveness are taken into account.


Qualifications & Experience


You will preferably a Proven background as a Travel Coordinator, Travel Agent, or a similar role in corporate travel management role. Potentially some background in Crewing and exposure to Visas. As you will be managing a variety of relationships with different stakeholders, it is important you have excellent communication and interpersonal skills and can engage support and cooperation at all levels.
