Required as soon as possibleReference:0430As a local charity The Pear Tree Fund is seeking an experienced Administrative Assistantto provide overall administrative support to the Pear Tree Centres Manager Staff and Volunteers and generally assist with the smooth day to day running of the Centre to ensure that it is a calm and welcoming environment for our visitors.You will be well organised with good communication skills and attention to detail. You will have a passion for the charitys mission which is to provide local support for people at the end of life and/or with life limiting conditions as well as their families and carers.The Pear Tree Centre is a modern bright and welcoming space to work in and we provide free onsite parking.An enhanced DBS disclosure will be required for this role.You will:welcome visitors and direct them to appropriate support when requiredsort any post and deal with incoming emails and phone callsorder office stationery supplies and supplies of information leaflets as necessaryensure that supplies of refreshments are available and fresh and that storage is in line with health and safety standardsassist the Centre Manager in maintaining a high standard of comfort and cleanliness in the Centreassist with the collation of the monthly Newsletterset up and maintain a filing system online and for papers in collaboration with other staffassist with the management of the volunteer rota as requiredmanage the Centre bookings by other services/therapists/activities for the Centre Managerset up and manage electronic folders as needed taking care to apply GDPR principles. Carry out DBS checks as requiredaggregate and report on footfall and other activities as instructed by the Centre Managermanage and record any cash coming into the Centreensure that payable invoices are accurate and forward on to Finance Manager for paymentassist with any social functions and fund raising as necessary.An enhanced DBS disclosure is required for this role.All PTF staff are expected to:ensure that information is collected processed and stored lawfully to information governance best practice standards and complies with the requirements of the Data Protection Act 2018 and other legislationwork to all PTF policies and procedures includingadhere to safeguarding confidentiality and health and safetymaintain professional boundaries when working with those access PTF services professionals volunteers and staffpromote equal opportunities and respecting diversity within all aspects of their workundertake training and continuous professional development opportunities appropriate to their role and seek to improve personal performance contribution knowledge and skills of self and teamundertake additional duties as reasonably requested by the Centre and Operations Manager.You will need:a good standard of general educationgood written and verbal communication skillsthe ability to work empathetically and effectively across diverse populationsGood IT Skills (e.g. Windows Microsoft Office use of online cloud-based software)to be self-motivated enthusiastic & reliable adopting flexible and adaptable approach.The Pear Tree Fund is a small charity based in Halesworth and serving a population within a 15-mile radius. It was first established over 20 years ago as a small fund to provide support for people who wished to die at home.Over the years our work has expanded considerably and we now have a modern purpose-built centre in Halesworth which provides a range of services supporting people living with cancer and other life changing and life limiting conditions. It also supports people who have been bereaved and helps them to adjust their lives after the loss of a loved one.Visitors to the Centre can access counselling and other therapies and can join a range of support groups and services all free of charge.
