Title: Events Coordinator

Reporting to: Head of Events

Location: London

Scope: Full-time, office based Central London


Context

 

The French Chamber of Commerce in Great Britain is a prominent business members organisation with a network of over 350 French multinationals and SMEs operating in the UK. Our mission is to strengthen business relationships, promote partnerships, support growth and investment across the UK, and assist French businesses entering the UK market.

Events are the backbone of the Chamber’s activity, providing our members with opportunities to expand their networks and gain access to reputable speakers and insights. We deliver over 60 events per year for over 1,500 participants, covering a broad range of topics and formats, both in-person and online.


Overview

The Events team will ensure that each event aligns with the Chamber’s mission and objectives, fostering Franco-British business relations and highlighting the mutual commercial interests of both nations. This is a full-time position, reporting to the Head of Events and collaborating with the Events Manager. The Events Coordinator role is to provide essential administrative support for our busy and fast-paced Events Department.


Responsibilities

Event Planning

·        Regularly engage in market research to refresh and innovate our event offerings

·        Support the Head of Events in identifying relevant topics and speakers from across the political and business stakeholders


Event Delivery

·    Responsible for delegates management: handle participants’ registrations and invoicing, respond to queries, prepare and send the reminder and thank you emails, update the CRM

·    Responsible for producing event materials, including lists of participants, badges, place cards, lists of dietary requirements and contact details, etc

·      Support with logistics and stakeholders (speakers, sponsors, partners, etc.) coordination: research and benchmark venues and other 3rd parties, coordinate suppliers, etc

·       During events: set-up and manage the registration desk (for in-person events), welcome participants, respond to queries, provide support as needed to the participants and the rest of the team

·      Responsible for regular reporting: conduct regular satisfaction surveys, produce post event reports and support the Head of Events with yearly and quarterly reporting

·       Produce press reviews, briefs and other research as needed


Event Communication

·        Support events communications: update the website and calendar of events, draft event invitations, prepare and deliver targeted emailing/phoning campaigns as required

·        Work in tandem with the Communications team to ensure optimum post-event coverage, adding value for sponsors and partners


Qualifications & Experience

·        Educated to degree level, ideally with a communications or marketing background

·    Previous experience in events management and/or communication (acquired through an internship, work placement, student organisation, etc.)

·        Ability to prioritise, organise and deliver in a fast-changing environment

·        Self-motivated, energetic and show initiative

·        Outstanding organisational skills, attention to detail and thoroughness

·        Ability to manage own workload effectively, while remaining flexible and adapting to short deadlines and other demands

·        Team spirit: willing to step in and help outside of core scope, within the Events team and the wider Chamber team

·        Excellent communication skills, both written and verbal - all communications are in English, French would be a plus

·        Strong interpersonal skills, comfortable interacting with participants at all levels of seniority, whether by email, phone or face-to-face

·        Desirable: interest in the Franco-British relationship


About this position

·        Permanent position

·        25 days annual leave

·        Pension, private medical insurance and income protection insurance after probation period          

·       Our office hours are Monday to Friday, 09.00-17.00. However, many events, especially those in-person, might fall outside these timings. Your presence is essential, averaging about 2 events per week.

·      While you'll enjoy the flexibility of working from home on occasion, your presence at our Waterloo, London office is expected 2 to 3 days a week
