Job Overview:


The Registry Manager is responsible for overseeing all academic administrative functions and regulatory compliance. The role involves leadership and management of processes that span the student lifecycle, from admission through to graduation and post-graduation.


The Registry Manager also serves as the primary point of contact for regulatory bodies, ensuring compliance with national higher education regulatory standards and contributing to the institution's strategic leadership.



Key Responsibilities:


Academic and Student Administration:


  • Work with colleagues in VCAD Student Services and VCAD Academic Services to lead, guide, collaborate on and deliver, as appropriate, the management of the entire student lifecycle, including admissions, enrolment, assessment, and graduation.
  • Direct, manage and oversee the work and personnel of the VCAD Assessment Centre including academic records, Boards of Examiners, academic misconduct, reporting etc.
  • Provide leadership, guidance and delivery, as appropriate, in managing academic records, student data, student complaints, appeals, and misconduct cases.
  • Develop and enhance the use of student information systems, ensuring accurate and compliant data management for internal and external reporting to VCAD partners and regulatory bodies.
  • Collaborate with academic leadership (Director of VCAD, Deans, Programme Leaders etc) to support academic programmes and student progression.


Regulatory Compliance and Governance:


  • Ensure that VCAD complies with statutory regulations from bodies such as OfS, QAA, UKVI, and the Office of the Independent Adjudicator (OIA).
  • Ensure that VCAD is compliant with all of the internal and external regulatory requirements of our partner institutions and awarding bodies.
  • In collaboration with the Director of VCAD you will maintain and develop governance structures to support academic quality assurance, including external examination processes, programme approval, and assessment procedures.
  • Advise senior leadership on academic regulations and ensure policies related to student governance are up-to-date and properly applied.
  • Ensure compliance with the Prevent Duty, CMA guidelines, GDPR requirements, and other relevant legal frameworks.


Strategic Leadership and Institutional Support:


  • Provide strategic input as part of the senior leadership team, contributing to the development and implementation of institutional strategy.
  • Represent the institution in external regulatory and professional forums, enhancing its reputation and networking with other higher education institutions as appropriate.
  • Oversee the management of academic timetabling and the effective use of space for teaching and assessment.


Student Experience and Support:


  • Working collegiately with VCAD’s Head of Student Experience and Outcome, the Registry Manager will work to foster a strong student voice by ensuring mechanisms are in place for feedback and engagement with student bodies.
  • Work closely with VCAD student organisations and accountable student representatives to ensure active participation in institutional decision-making.


Data Management and Reporting:


  • Ensure the accuracy, integrity, and quality of student data for both regulatory purposes and strategic planning.
  • Oversee the submission of required reports to statutory bodies, partner organisations and other stakeholders, as appropriate, to ensure compliance with external data requests.
  • Lead student information-related IT projects, including the development and enhancement of systems.


Team Leadership and Development:


  • Lead a team of administration and data management colleagues, ensuring high performance, efficient methods and excellent administrative outcomes.
  • Oversee recruitment, induction, training, and professional development of staff within the VCAD Registry.
  • Foster a collaborative and supportive work environment, promoting opportunity, diversity and inclusion.


Financial and Resource Management:


  • Manage, as appropriate and required, the budget for academic services, ensuring resources are allocated effectively and in alignment with VCAD priorities.
  • Monitor and manage risks related to the delivery of academic services, reporting to VCAD directorate, senior management colleagues, appropriate stakeholders and external auditors as necessary.



Person Specification:


Qualifications, Knowledge& Experience:


Essential:


  • A Masters degree or equivalent, evidenced, professional experience.
  • Extensive experience in higher education administration at an appropriate level, ideally within a registry or student services department.
  • Knowledge of UK higher education regulations and compliance frameworks (OfS, QAA, UKVI, etc.).


Desirable:


  • Experience and understanding of the private Higher Education sector. Knowledge and empathy with the franchise model of delivering HE programmes.
  • Experience leading strategic change initiatives in a large and complex organisation, ideally within a higher education context.
  • A high level of engagement with academic governance, quality assurance, and regulatory compliance.
  • Experience of working with student information systems and academic data management.

Additional Information:


The Registry Manager may, occasionally, be required to travel nationally or internationally as required


The role requires flexibility, with occasional out-of-hours work to support VCAD events and deadlines.
