A market leading B2B publishing company based in Central London, who organise a portfolio of conferences, dinners, an awards show, roundtable discussions and webinars seek an Events and Marketing Assistant to join this small team.
Working hybrid, 2 days in the office, The Events and Marketing Assistant will be responsible for assisting with coordinating the key logistics and operations of a portfolio of events and webinars as well as assisting with the creation and implementation of the Marketing programme. The candidate will work closely with the Head of Events and internal departments to deliver conferences and events to an exceptional standard. The events team is responsible for the overall operational delivery of events that exceed the expectations of our delegates and sponsors. The role holder will pride themselves on delivering a successful marketing plan and aid in running a professional series of events to an exceptionally high standard.
Event Management
- Working closely with the Head of Events to ensure all events are delivered on time, within budget .
- Organising and implementing a programme of webinars and roundtable discussions with the support of the Head of Events
- Sourcing, reviewing and being responsible for pre-event suppliers such as lanyards, badges, couriers, polling, merchandise and gifts
- Venue sourcing including new dinner venues for the evenings of our portfolio of events. Liaising with the venue to ensure a seamless operation on the day of the event. Developing table plans for allocated seating at conferences where necessary
- Assisting with providing AV and production suppliers with event brief so that staging and AV can be designed and agreed and ensure that everything is on brand and event requirements are met. Liaising with the AV team on site to ensure the seamless running of each aspect of the conference.
- Post event review of feedback and recommendation of improvements for future events
- Managing and maintaining good relationships with all key stakeholders (such as suppliers, venues,
- speakers and clients)
- On-site coordination of logistics and management of suppliers, preferred partners, personnel
- and freelancers at events
- Sourcing of entertainment and speakers for conferences and awards shows
Marketing
Assisting with the overall marketing programme of events, including implementation and delivery of mailers and social media posts.
Duties include:
- Copywriting for promotional material and social media channels
- Create and maintain a competitor calendar, regularly updating the calendar with competitor event dates, speaker ideas and technology ideas
Qualities / Experience
- 1+ year’s of office/admin or events experience
- The ability to work on own initiative
- Excellent communications skills, both in writing and in person
- Attention to detail
- Ability to manage a demanding schedule and coordinate multiple events in the planning stage and see them through to completion
- Fantastic organisational skills coupled with the creativity to make the events a must attend
