Program Assistant

The E&S Policy and Risk (CES) Department, acts as the custodian and guardian of IFC's Environmental and Social (E&S) policies and standards and serves as an independent regulator" of IFC's E&S risk management. CES enables IFC to successfully invest in high-risk environments by managing E&S risks on projects more effectively while maintaining adherence to IFC's sustainability framework.
CES delivers five functions:
• Risk Management: CES ensures that IFC has appropriate systems, procedures and capacity in place to deliver on E&S risk management. CES adds value to the management of E&S risks, reviewing E&S aspects and classification of all projects at origination and providing oversight, guidance, and support for high-risk projects in the pipeline, as well as for high-risk and non-performing projects in IFC's investment portfolio.
• Stakeholder Engagement & Grievance Response: CES facilitates and improves IFC's ability to resolve stakeholder complaints quickly and effectively and address both CAO and direct complaints.
• Policy and Standards: CES maintains and updates IFC's sustainability policies, standards, and procedures as a world-class resource for IFC clients and external networks.
• Knowledge, Learning, and Systems: CES fosters the E&S community of practice, transforms lessons learned into guidance, E&S risk management tools and systems, learning, certification of E&S staff and knowledge products that enhance IFC's E&S performance.
• Global Support: Provides technical expertise and cross-functional support to specialists on thematic issues such as labor, supply chain, gender/GBV, and climate change screening and assessment, as well as support to thematic consultants; and supports Risk and Operations with portfolio supervision, performance data management, and KLS for the development, management, and implementation of relevant IFC systems (iPortal, ESG360).
To ensure that CES continues to play this role effectively, CESRM is recruiting a Program Assistant to provide a full range of general and specialized administrative support.
Duties and Accountabilities:
The Program Assistant will report to the CESRM Manager and will be responsible for a full range of administrative and operational support to the team assigned, including, but not limited to:
• Schedule meetings, conference calls, video conferences and prepare materials for meetings.
• Track incoming requests, manage the workflow, and follow up on agreed-upon actions, deadlines, and priorities as needed.
• Support office management and administrative functions, including actions taken in SAP, Admin Portal, TRS, LARS, e-Performance, etc. Coordinate meetings and events, videoconferences, workshops, retreats, office supplies, and IT services.
• Answer/redirect inquiries using initiative and good judgment.
• Prepare and process all aspects of travel arrangements, including logistics, visas, and mission briefs, as needed.
• Maintain and coordinate general office procedures and guidelines and ensure their dissemination. Play an active role in developing practical approaches to enhance work organization and unit coordination.
• Ensure documents and correspondences are properly handled and filed for cloud-based and physical archive files. Proactively maintain physical and electronic working files
• Draft and edit routine correspondence, i.e., letters, e-mails, and memoranda.
• Support and work collaboratively with members of their respective unit's clients as well as with others across CES and Bank Group offices.
• Support the onboarding process for new staff and STCs.
• Undertake ad hoc assignments and provide support to other staff in the unit as required.
• Strong knowledge of IFC Corporate systems and the project cycle is an advantage.
Selection Criteria
• High school diploma with seven years of experience or equivalent combination of education and experience.
• Outstanding interpersonal skills and ability to interact with people at all levels, internally and externally.
• Positive attitude, reliability and resourcefulness and proven ability to work effectively in a team-oriented, multi-cultural environment.
• Excellent administrative, analytical, office support and organization skills with attention to detail and ability to prioritize and deliver assignments in a timely manner.
• Demonstrated initiative and ability to work with limited supervision to develop practical approaches that improve office support work and the effectiveness of the unit.
• Sensitive to and respectful of cultural differences in an international organization.
• Self-starter and motivated to accept additional assignments, as well as look for opportunities to help others in meeting work objectives.
• Share expertise so others benefit and learn.
• Strong English language skills (verbal and written), including the ability to draft, proofread, and edit a variety of correspondence.
