The successful candidate will:
• Ideally have previous experience of providing administrative support within a Facilities function
• have experience of problem solving and service improvement
• have experience of providing support with procurement and contract management
• be able to manage conflicting priorities, demanding workload and tight deadlines 
• have effective communication skills, with evidence of forming working relationships and working flexibly across professional and operational boundaries
• be self-motivated, resilient and have a sense of humour

Key responsibilities will include:
• To provide an efficient and effective administrative support to the Facilities Team, undertaking general office and administration tasks as required.
• Ensure cyclical and planned maintenance schedules are accurately maintained and are kept updated. 
• Assist the department in sourcing products and suppliers and provide administrative support for tender issuing and management. 
• The effective and efficient administration of Trust vehicle fleet, including insurance, driver competency training, vehicle licence records, accidents, repairs, MOTs, vehicle breakdown cover and disposal and acquisition records. 
• Support the scheduling of the Estates Maintenance Operatives and Caretakers 
• Assist in ensuring strict compliance records are maintained and reviewed regularly. 
• Assist the Facilities Manager and H&S Manager in tracking maintenance job sheets, manage motor vehicle records, and process facilities helpdesk requests.
