Working Conditions

The role is usually carried out during normal business hours from the company's head office situated in London King's Cross. On occasion, the job may require evening or weekend work, remote working, or work-related travel for new business opportunities.

The typical working day will be eight hours with an hour for lunch. Start time allows for flexibility within core business hours. May offer flexible working hours at the discretion of the Directors. The job may involve working with challenging stakeholders or clients, from time to time.

Duties and responsibilities

The Coordinator will support the Talent Manager(s) on their roster(s) of talent, varying from high profile to emerging. Whereas the Manager has a proactive, strategic role in the management of the talent, the Coordinator is a more reactive role, with the largest part being the coordination and execution of reactive brand partnerships as well as day-to-day admin and organisation.

Ability to curate and book complex travel plans for clients.
Manage all logistics for events and talent commitments including call sheets, travel, accommodation and timings.
Effectively manage Talent diaries on a daily basis, ensuring all details are included and scheduled accurately.
Communicating with high-level personnel at external companies.
Working with and assisting Talent Managers and Senior Talent Managers on their daily duties and also working with other assistants/coordinators on daily operations.
Work alongside Talent Managers and Senior Talent Managers to pitch clients for brand collaborations and opportunities.
Assist in the securing of opportunities for our existing roster of talent clients.

Assist in the managing and nurturing of existing clients and the running of day-to-day talent campaigns. Which includes: ensuring that the brief is suitable for the talent before being sent through to them, working with the talent to execute the campaign, assisting on any post-campaign analysis. Keeping on top of all administration including saving important documents to a shared drive, invoicing and finance updates, data collection, gifting opportunities, case studies, charity partnerships, website and social media updates, updating of media kits.Being three steps ahead of the talent at all time - ensuring that potential questions are answered before they are even asked.
Assist in and lead in the processes for the Insanity Group roster.
Research duties to include but not limited to, potential clients, brands, social media platforms, research tools, competition.
Respond to queries and filter to the appropriate manager.
Run errands when necessary and miscellaneous tasks to support the team and clients.
Manage databases and maintain admin systems.

Required:

Keen interest in the entertainment business, with a passion for digital creators.
Ability to prioritise tasks and time manage, staying on top of deadlines.

Able to handle a lot of projects simultaneously, prioritising by what is most important to the future success of the clients.Being able to manage key stakeholders (including the talent) so that expectations are always managed as best possible.Being able to foresee potential issues or roadblocks in advance and successfully navigate around those. Being able to adapt behaviour from one talent to another talent and not taking a one size fits all approach.Keeping on top of industry developments and share insights with the wider team that may affect the business or talent. Competent IT skills, both with applications (Word, Microsoft, Excel, Mail, PowerPoint).Keen eye for detail.Demonstrable experience in curating emails and communication skills – checking with senior members of staff / clients.Excellent competency in planning and logistics.Outstanding organisational skills.Excellent interpersonal skills.Motivated, tenacious, ambitious, and willing to learn.Ability to thrive under pressure, remain calm in situations.Team player.

Preferred

Previous experience as a PA/EA or within PR, Influencer Marketing and Management is desirable, but not essential.
Undergraduate Degree (preferably at 2:1 or above).
Knowledge of the broadcast and influencer landscape.
