A key member of the Strategy & Transformation team, the Administrator & Executive Assistant will report to the Director of Strategy & Transformation and support the whole team to deliver key events, communications, and content to the business.

Specific activities and tasks will be noted each year as part of the annual objective setting process.

Key Accountabilities include;

  • Planning - Support the team to develop and execute plans that are adaptable to changing business needs.
  • Events & hospitality - understanding what's needed by the team to help, planning and delivering events to budget and time constraints.
  • Be the main point of contact for all enquiries and meeting organisation for the team.
  • Diary management for the Director of Strategy & Transformation and direct reports. Organise travel arrangements as and when required.
  • Prepare, code and obtain authorisation for all invoices.
  • Presentations and electronic media - create professional presentation packs/slides. Take content from the team members and develop creative, clear and professional slide packs. Ensure alignment to all relevant branding guidelines.
  • Meetings - Organise meetings as requested by the team. This includes booking meeting rooms with the necessary visual aids, preparation and distribution of meeting packs, minute taking and circulation, following up on action tracking, etc.
  • Away Days - Organise business planning 'away days' liaising with external suppliers and ensuring terms of reference are met.

  • A disciplined, methodical and accurate approach to work.
  • The ability to communicate clearly, concisely and in plain language.
  • Good process management and project management and organisation skills.
  • The ability to prioritise, multi-task, and work to strict deadlines.
  • Advanced skills in Excel, Word, Powerpoint.
  • High levels of discretion, respecting the need for utmost confidentiality.
