Would you like to earn a salary whilst learning on the job and gaining a qualification? We are looking for someone to fit into our small office team, supporting 40 community carers and 100 vulnerable adults. Your role is to support the office team to deliver an exceptional service.

What will the apprentice be doing?

Your role is to support an office that, at times, can be very busy and highly pressured. We are very much a successful, developing company with a proven track-record of delivering high-quality services.

The office team is small (4 people) and have the responsibility of supporting 40 community staff and over 100 vulnerable clients. Decisions they make affect lives on a daily basis.

Your role is to support them in this by ensuring the day-to-day office administration is completed to a high standard. You may be working independently on your own projects at times. This means you have the opportunity to make this role your own, and work in a style that best suits you.

In turn, we will support you. We will offer you opportunities to advance your knowledge and understanding of the social care sector, care management and utilising IT in a care setting.

Daily tasks include:

  • Managing and directing incoming calls from clients and staff
  • Preparing assessment paperwork
  • digital file creation
  • CRM software updates
  • support creation of Care Plans

Weekly tasks include:

  • client contacts
  • supporting office team with client paperwork/digital files
  • utilising CRM software to maintain records
  • filing and scanning incoming assessments/training reports
  • reviewing stock levels (PPE)

Monthly tasks include:

  • supporting Lead Caregivers with 3/6/9/12 monthly QA's
  • auditing client and staff logs/files
  • reviewing client/staff files

What training will the apprentice take and what qualification will the apprentice get at the end?

For this Apprenticeship Standard, learners will have the opportunity to give focus on the knowledge, skills and behaviours of the standard that will allow for good business acumen, decision making and the understanding of tools and techniques in relation to time and project management. The completion of this Apprenticeship Standard will require monthly training visits from a qualified IPS Trainer to help support the Apprentice. This will allow them to develop skills and progress the building of the Apprentice portfolio to prepare the learner for End Point Assessment.

Delivery is primarily carried out through remote visits, but the trainer will visit the learner's workplace quarterly and at the start of training to allow for a good working relationship between all parties for smooth delivery of the Standard. Upon successful completion, the learner will achieve the Level 3 Business Administrator Standard.

What is the expected career progression after this apprenticeship?

Upon successful completion of the apprenticeship, as a growing company this role may develop according to the needs of the organisation and your own strengths. Previous Admin Assistants have gone on to take specialisms in HR, accounts, care-coordination and IT.
