An international company based in Green Park is looking for a PA to support two C-suite executives with a mix of business and personal duties. The role is extremely varied, including Travel, lifestyle managements and home management. The ideal candidate will have prior experience supporting C-Suite/Senior level individuals in a corporate environment where they have handled complex business travel and organisation of busy diaries.


MAIN RESPONSIBILITIES

  • Calendar Management: Efficiently manage schedule, including scheduling meetings, appointments, and travel arrangements. Coordinate with internal and external stakeholders to optimise time and ensure timely and effective communication.
  • Event Management - plan and organise personal and professional events, including large scale international customer events in coordination with Travel and Marketing teams
  • Travel Arrangements - plan and book all Personal travel arrangements, including flights, accommodations, and ground transportation. Prepare detailed travel itineraries. Ensure travel documents (passports, visas, etc.) are up-to-date and in order. Work in conjunction with Travel team for all business related travel
  • Information Management: Organise and maintain confidential information, documents, and records. Manage electronic and physical filing systems, maintain databases, and ensure data security and confidentiality.
  • Support the Executives to prioritise effectively, including preparation for upcoming engagements and key meetings.
  • Producing and logging meeting minutes & preparing documentation as requested.
  • Processing expense claims via Concur
  • Working as part of the London PA/Administration team to provide cover to other PA’s in absence


KNOWLEDGE, SKILLS AND EXPERIENCE

  • Ability to set and implement priorities, manage multiple tasks to tight deadlines with high service levels.
  • Strong interpersonal skills including effective written and verbal communication skills and the ability to actively listen
  • The ability to build strong relationships with people at all levels whilst maintaining diplomacy and discretion.
  • Ownership and initiative – proactively taking on projects and seeing through to completion
  • Outstanding attention to detail and proven problem-solving ability with the skill to anticipate team’s needs
  • Confidentiality – maintaining unquestionable confidentiality regarding financial, personnel and other information
