About the Role

We are seeking a dynamic and experienced Project Administrator to join our Operations Team, reporting directly to the Operations Manager.


Key Responsibilities Include;

  • Efficiently record and track new bookings, ensuring they are accurately entered into the planning system.
  • Maintain and update job assignments to support smooth project scheduling and resource allocation.
  • Provide support in the planning, monitoring, and oversight of programs, collaborating with internal teams including Customer Success, Operations, and Professional Services.
  • Track project progress, ensuring adherence to schedules and timely delivery of services.
  • Handle and process service requests, purchase orders, and other administrative tasks to keep each project on track to deliver within a timely manner.
  • Generate, prepare, and distribute internal and external reports using company IT tools and Excel.
  • Manage and respond to Requests for Information, recommending appropriate services or directing inquiries to subject experts.
  • Continuously seek opportunities for improvement in service delivery and customer satisfaction, implementing best practices where possible.
  • Assist with contract management, aligning project execution with compliance standards and commercial objectives.
  • Act as a liaison between departments, coordinating with stakeholders on project status.
  • Regularly report on project progress to internal stakeholders, optimising results through clear and efficient communication.
  • Complete other administrative and project-related tasks as directed by the Senior Management Team.


Experience

  • Ability to manage multiple tasks and prioritise effectively to meet deadlines across various projects and client requests.
  • Precision in handling data entry, documentation, and report generation, ensuring accuracy in all aspects of project administration.
  • Strong written and verbal communication skills for effective interaction with clients, team members, and stakeholders at all levels.
  • A proactive approach to understanding and meeting client needs, enhancing client satisfaction, and fostering positive relationships.
  • The ability to identify, assess, and resolve project challenges, including risk management and resource planning.


Essential Skills

  • Competence with Microsoft Office Suite (especially Excel) and familiarity with project management and planning tools or CRM systems.
  • A collegial attitude, thriving in a collaborative environment and readily assisting teammates to achieve shared goals.
  • Basic understanding of commercial impacts, budgeting, and how project delivery can affect profitability and compliance.
