We are seeking a pro-active Facilities Manager who is eager to grow with the business. The ideal candidate will have a strong background in facilities management working with commercial property assets. 


Role Overview:

The Facilities Manager will be responsible for ensuring the smooth operation, safety, and maintenance of our co-working spaces across multiple locations. This role involves overseeing building operations, managing vendor relationships, conducting statutory compliance reviews, and implementing best practices to enhance the overall workspace experience for our members.


Key Responsibilities:


Facility Operations Management:

  • Oversee day-to-day operations of all co-working spaces
  • Ensure all facilities are maintained to a high standard, including cleanliness, safety, and functionality
  • Manage the scheduling of routine maintenance, repairs, and upgrades
  • Assist with the openings of new locations, working alongside design and construction teams throughout the projects


Health and Safety Compliance:

  • Conduct regular health and safety audits and risk assessments
  • Ensure all statutory compliance requirements are followed and recorded
  • Review and oversee all fire safety requirements including drills and evacuations for all sites
  • Keep up-to-date with changes in legislation and update policies and procedures accordingly
  • Maintain records of compliance activities and ensure all documentation is current and accurate


Vendor and Contractor Management:

  • Negotiate contracts and manage relationships with vendors, suppliers, and service providers
  • Monitor the performance and quality of work provided by contractors to ensure high standards at all times
  • Ensure all contractors comply with health and safety regulations and company policies


Budget Management:

  • Manage the facilities budgets across all sites to ensure spending is efficient
  • Track expenses and ensure cost-effective operations across all spend lines
  • Identify opportunities for cost savings and efficiency improvements


Member Services:

  • Act as the primary point of contact for members regarding all facility-related issues, working towards the quickest possible resolution
  • Ensure a high level of customer service and promptly address member concerns and requests, working collaboratively with the Community Teams


Qualifications and Experience:

  • Bachelor's degree or equivalent in Facilities Management or a related field preferred
  • Minimum 3 years’ experience in facilities management, preferably within a co-working or commercial real estate environment
  • Strong knowledge of UK health and safety regulations and statutory compliance requirements
  • Excellent organisational and project management skills
  • Strong communication and interpersonal skills
  • Ability to take ownership, manage multiple priorities and work under pressure
