The People Systems Administrator is responsible for executing tasks relating to recruitment, company culture and employee relations of the company.
This role is responsible for a wide variety of processes related to our ‘People Are Wildly Important’ strategy and supporting the mission of ‘People Helping People Be Successful’.
A primary function of this role is to provide support for the People Systems Team, working on all aspects of recruitment from advertising, interviewing and making offers. Help to drive continuous improvement and smooth running of the People Systems department, taking ownership of the organisations documentation. Being the face for the site to welcome visitors, candidates and new starters.
This person will possess and demonstrate characteristics that include the mindset of ownership and accountability, an intrinsic drive/need to help develop the team, and improvement of the work environment and processes. The People Systems Administrator will find satisfaction in achieving positive team results, creating a positive work environment, and helping team members grow and achieve their goals. The person will have a demonstrated capability of successfully participating in engaged work teams in a streamlined and highly efficient environments. It is critical that the People Systems Administrator be an effective communicator.
Role Description and Job Accountabilities:
* Start to end recruitment process including advertising, interviewing, onboarding, inductions and exit interviews.
* Ensuring compliance with UK Law.
* Compiling and organising physical and digital employment records, tracking and reporting on holidays, sickness and other generated data.
* Supporting HR related training programs and workshops
* Minute Taking in various meetings including investigation, disciplinaries, appeals and general meetings.
* Drafting offer letters, invitation and outcome letters of meetings.
* Assist with all internal communication channels like Influence Team, Quarterly focus, Round Table, Townhall, and associated actions to strengthen employee engagement to foster a transparent and inclusive company culture.
* Giving a great first impression to visitors, candidates and new starters.
* Handle the logistics of ordering food and beverages for meetings and events, ensuring a positive and hospitable atmosphere.
* Manage the organisation's travel needs, including the booking of hotel reservations, taxies booking, ordering lunches to ensure a smooth and comfortable experience for our team.
Qualifications and Experience:
* CIPD level 3 qualification is desirable
* Several years of experience in a fast paced, responsible position in the HR department is essential.
People Systems Assistant Skills:
* Very good knowledge of HR processes
* Ability to solve problems with a courage to challenge mindset
* Excellent communication skills
* Manage conflict and create conflict resolutions
* Experience with Microsoft Office suite, including Excel & power point
* Proven ability to maintain a high level of confidentiality and professionalism in all dealings with team members.
