The Acute Medicine Department is looking to recruit an enthusiastic, bright and engaged individual to the post of Unit\Ward Administrator to join our patient focused team.

You will work 37.5 hours per week over 365 days a year so weekend and bank holiday working is a requirement.

The post holder is responsible for delivering a comprehensive reception and administration service to the Acute Medicine Department.

The accurate collection and inputting of data is key to this position and the post holder will be expected to work flexibly, rotate throughout the departments and ensure that the department captures all activity data correctly.

Reception duties will involve face to-face patient contact and telephone work.

A high level of professionalism is essential and a courteous and polite approach to our client group is expected at all times.


  • To ensure accurate and diligent administration with regards to receiving and ensuring patients are admitted and transferred to the inpatient wards. Making sure patient details are correct and up to date. You must ensure that the Acute Medicine departments capture all relevant registration data and that this is entered on to the inhouse computer databases.
  • To manage facetoface enquiries promptly and efficiently, providing an immediate response or referring individual onto any other appropriate person / department as and when required.
  • To answer telephone calls in a polite and professional manner taking accurate messages and ensuring these are given to the appropriate people/department.
  • To direct patients to different areas of the department or other departments as required.
  • To analyse situations and data and make appropriate judgements.
  • To use own initiative/decision making out of hours and at weekends without supervision.
  • To act within the guidelines relating to patient confidentiality and the Freedom of Information Act.
  • To monitor and maintain Health and Safety of self and others, taking immediate and appropriate action as necessary.
  • To be fully aware of the Trust's Safeguarding Procedures and demonstrate the ability to raise concerns to protect our patients/staff alike.
  • Help cross cover into neighbouring departments within the care group and outside the care group as needed depending on staffing levels to help ensure a safe and consistent service is delivered.

You will already be a strong team player and be capable of building excellent working relationships with members of the multi-disciplinary team and other hospital departments.

Excellent communication skills are a fundamental skill as you need to give and receive quality handovers to and from your colleagues.


Previous NHS administrative and customer care experience within a hospital environment is a distinct advantage, however experience in a customer facing role within another NHS or public sector service area may suffice.

The ward activity is fast paced so a flexible approach and an ability to multi-task is key as you may be required to assist in cross-covering more than one ward at a time.

This role is essential in ensuring our patients have a positive experience throughout their stay.

Experience of using PIMS ADT (Admissions\Discharges\Transfers) and\or Outpatients and Sunrise EPR is advantageous but not essential as training is given.
