What you'll be responsible for:

  • Provide a full range of Administration duties to the team.
  • Maintenance of databases and electronic systems to record activity and compliance for the team.
  • Dissemination of Safeguarding information to internal/external professionals, as directed by senior nurses, ensuring safe methods of communication are used at all times.
  • Triage of calls to the team from professionals recording and escalating these calls as appropriate via an established duty system.
  • Typing of reports, minutes, agendas, general correspondence, presentational material, etc.
  • Other administrative tasks as appropriate.
  • Produce reports and circulate to the wider team.
  • Maintenance of filing systems.
  • Photocopying and collation of documents.
  • Assistance with formatting rotas for the team
  • Any other duties within the general scope and context of this post.

You'll learn the following whilst working at the trust:

  • An in depth understanding of the roles and responsibilities involved in working within the NHS
  • Knowledge of the systems used, to effectively complete your role to the highest standard at all times
  • A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You'll have the following skills/experience:

  • Administration/office experience i.e. diary management, electronic filing systems, meeting preparation, note taking, collating, and presenting information etc.
  • Providing administrative or secretarial support.
  • Experience of organising competing demands and workloads.
  • Setting up and maintaining administrative systems and processes.
  • Minute taking and transcribing within team.
  • Previous experience of dealing with telephone calls of a highly sensitive nature and dealing with professional people.
  • Competent in Microsoft Office Software and equivalent administrative programs
  • Working knowledge of Microsoft Outlook
  • Dealing with confidential/sensitive information
  • Ability to work autonomously and proactively.
  • Good interpersonal, communication skills and organisational skills
  • Able to prioritise work effectively and deal with nonroutine tasks under pressure.
  • High level of attention to detail and quality of work
  • Accuracy of message taking
  • Experience of working within NHS health organisations.
  • Knowledge of health electronic systems such as SystemOne/Symphony/National Spine
