Role Details

Role:
HR & Payroll Admin

Salary:
Up to £25,000 per annum (dependent on experience)

Hours: 40 hours per week

Shift Pattern:
Monday to Friday, core hours i.e.

8:00/16:00 or 9:00-17:00

Contract:
Permanent

Working with the HR team to proactively handle all people administrative processes both accurately and efficiently.


Manage colleague data through the relevant HR systems including personal data and payroll whilst identifying ways to continuously improve systems, processes and produce people-related data.

Supporting the wider HR and site team to co-ordinate the colleague lifecycle and assisting all teams cross-functionally within IML.

Responsibilities include:

Generalist/Admin Support

  • Providing support and guidance to all line managers and colleagues in relation to people admin activities and payroll.
  • Monitoring and managing the HR inbox, responding to queries and reference requests.
  • Raising purchase orders (PO's) for the HR team to make payment for agency and recruitment fees.
  • Producing letters as and when requested by the wider HR Team or management.
  • Using Microsoft Office, HR systems and data broad to collate and produce data for analysis.
  • To carry out any reasonable requests as requested by line management and support the wider HR team.

Payroll

  • Collating data relating to IML's payrolls (weekly and monthly) to provide to the Head Office payroll team. Including hours worked and changes (new starters, leavers, changes to terms and conditions and salary sacrifices).
  • Managing all pay queries by liaising with colleagues, managers and the Head Office payroll team.
  • Logging various types of absence within the HR system and ensuring payments are made accordingly.
  • Supporting all aspects of Cucina payroll including data collation and responding to queries.

Colleague Life Cycle & Experience

  • Data Collation managing and tracking completion of new starter surveys and exit interviews.
  • Employee Relations (ER) drafting letters relating to ER cases (i.e. invites, outcome) and attending meetings for note taking as and when required.
  • Reporting preparing HR key performance indicators (KPI's).


Recruitment
  • Supporting the HR team with both internal and external recruitment activities including; drafting and placing adverts, arranging interviews and conducting right to work checks.
  • New starters and Onboarding
  • Preparing and coordinating all new starter documents and HR system setup.


Probationary process
  • Managing the probationary process alongside managers for all new starters.
  • Performance and Development Reviews (PDR's)
  • Collecting and recording all information relating to colleague annual and biannual PDRs.


Leavers
  • Acknowledging and processing any leavers across IML.


HR activities
  • Supporting with wider HR Team with all sitewide initiatives including but not limited to; reward and recognition, communication and engagement, welfare and wellbeing, and diversity and inclusion.

Skills & Experience

Essential:

  • Proven administration experience, preferably within a HR and/or Payroll role.
  • Experience of using HR and/or payroll systems
  • Strong IT skills, particularly Microsoft Excel with experience of using all Microsoft Office packages.
  • Excellent attention to detail and organisational skills
  • Works with accuracy and pace
  • Proactively identifying areas to continually improve
  • A team player with a friendly and respectful approach
  • Datafocused and analytical approach
  • Excellent communication and interpersonal skills, written and oral, to ensure a clear and consistent message is given.
  • Confidentiality and professionalism in all aspects of work
  • Eager to learn and develop in wider areas of HR.

Desirable:

  • Level 3 CIPD or willing to work towards
  • Food manufacturing experience
