Job Title:
Attendance Administrator**
Job purpose:To provide accurate and consistent recording of student attendance and to support improving attendance.

To safeguard our students.

To support the school in the implementation of its aims and objectives as specified in

the School Development Plan

Surrey PS5 (£14,922 to £16,062)

Hours: 25 hours per week / 39 weeks per year / pm (includes unpaid break times)

Attendance Lead

Key accountabilities

You are required to:

  • All registers are completed each day, both am and pm, accurately/coded correctly.
  • Report any messages containing safeguarding concerns on CPOMs before 8.55am.
  • Sign children in and out via the student entrance. Ensure the register on SIMs is updated within 15 minutes.
  • First Day Call Back sent out by 10.15am every morning.
  • Complete the necessary paperwork for FPN and submit to the Court Presentation Officer.
  • Process Elective Home Education requests and forward to the Headteacher and the Inclusion Service.
  • Prepare and keep uptodate the tracking spreadsheets for Year Leaders.
  • Liaise with the Year Leaders to ensure that the Attendance Administrator can make appropriate and timely phone calls, to address attendance concerns.
  • Complete and submit the pupils missing out on education, PMOOE, accurately and on time.
  • Manage the Leave of Absence Forms, via the Headteacher for confirmation. Communicate the decisions to parents.
  • Prepare and send letters to parents regarding below expected attendance levels, in consultation with the Attendance Lead and Year Leaders.
  • Log all attendance actions for students on EduKey.
  • Support the Attendance Lead with tracking data and submissions to the Department for Education.

Key Tasks:

To undertake the effective management of the following tasks:

  • Daily administration of the SIMs registration system.
  • Ensure accurate and timely entries onto SIMs.
  • Daily management and accurate recording of communications from parents.
  • Completing the FPN paperwork ready for the Headteacher's signature.
  • Submitting the FPN paperwork for processing by the courts.
  • Entering paper registers from assemblies or cover lessons.
  • Producing the attendance tracking spreadsheet.
  • Supporting the Year Leaders with accurate attendance information.
  • Manage 'front of house' enquires, in the Student Entrance and liaising with parents.
  • Ensure that students sign in and out for valid appointments during the school day.
  • Manage both formal, and informal communication in the school as required to inform and keep children safe.
  • Provide staff with student information as required.

  • Meet deadlines.
  • Attend scheduled department and school staff meetings and take part in Open Evenings.
  • Participate in the Appraisal process ensuring that the Appraisal Review cycle is completed annually by the set deadline.
  • Meet the requirements for practice and conduct set out in the WCSC Support Staff Standards (see attached)
  • Take responsibility for own professional development, setting objectives for improvements.
  • Personally keep up to date with developments and new ideas related to your role and share these where appropriate with department colleagues.
  • Maintain a personal development portfolio of evidence to support the Appraisal process.
  • Participate in the In Service Training programmes organised by the school and other relevant bodies
  • Participating in activities to promote liaison with other schools and agencies.

  • Undertake any other duty as specified by the Surrey Pay and Conditions Document not mentioned above.

  • Providing cover in the school's Learning Resource Centre
  • Assisting during tutor periods and with class registration
  • Sharing expertise with/training other members of staff


We recognise that support staff have a wide range of previous experience, not only in the workplace, but also other skills and interests, and staff are actively encouraged wherever possible to be involved in supporting student learning and enrichment experiences.

This is likely to be through involvement in school clubs and extracurricular activities but could also include the sharing of particular expertise within the classroom environment.
