Pastoral and Events Admin

  • Supporting the Academy with events such as Parents Evening and Open Evenings. Ensuring the event is advertised appropriately, chasing responses, catering is provided and rooms are booked. You will also be required to attend on the Evenings to ensure the event runs smoothly.

SEN

  • Responsible for the administrative support/coordination for meetings such as Annual Reviews, Interim Reviews and CAF meetings including agenda preparation, collation of supporting papers, minute taking, production and distribution of minutes and any additional documentation.
  • To undertake a comprehensive range of administrative services within the SEN department, ensuring that work is prioritised and deadlines are met.
  • Maintain SEN student records both electronic and paper files including records are archived in line with the ICO regulations.
  • Maintain, update and distribute documentation relating to SEN students including the Inclusive Register and IEP's.
  • Coordinate routine and nonroutine communication with service users on issues of a highly confidential and sensitive nature including parents and agencies such as other education establishments, health and other Local authorities relating to SEN students.
  • Support in developing SEN administration procedures and practices, making recommendations as appropriate.

Free School Meals

  • Administrating the Academy's Free School Meal Eligibility Checker.
  • Liaising with parents whose check comes back as 'Not Found' by requesting evidence of benefits.
  • Promoting the Free School Meals eligibility checker to parents who are not registered.
  • Logging appropriately on Sims, to ensure that funding is optimised and students receive the correct allowance.

Social Media & Academy Website

  • Keeping the Academy Website and Social up to date by completing the Trust's Audit form each Half Term.
  • Adding additional items when required.
  • Promoting events and changes on the sites correctly.

Exclusions

  • Administrating the necessary paperwork for student exclusions with information provided from the Pastoral team.
  • Collate information for reintegration meetings to support the Year Leader for creating targets for the student returning to the Academy.
  • Run reports providing statistical data as requested.

Procurement Administration

  • Administrate the local finance admin service to support Academy staff in their procurement activities, raising requisitions and following up on approvals of requisitions.
  • Being responsible for the receipt of goods and services into the Academy, checking the delivery log and liaising with staff to ensure GRNs are raised in good time.
  • Identify implications and situations that require escalation to the Academy Manager.
  • Recognise and identify additional spend commitments and report to the Academy Manager.

General Administration

  • Assist in providing comprehensive reception services, including greeting visitors to the Academy and ensuring relevant safeguarding checks are made, including receiving parents and students, dealing with general enquiries face to face or by telephone; taking messages or referring matters to the appropriate person.
  • Work cooperatively as part of the Academy administrative team, covering absence, vacancies and supporting colleagues at times of heavy workload.
  • Undertaking any other duties which may reasonably be regarded as within the nature of the duties and responsibilities/grade of the post as defined.
  • Undertake typing, work processing and other IT based tasks.
