Job Summary Accountable to the Directorate Manager for the day-to-day management of the Pre-Operative Assessment reception The post holder will be expected to be customer focused and to use the PAS appointment/Clinical Data System, paying particular attention to the get it right first time philosophy and #CallMe initiative.

You will have the ability to work on your own initiative and be an effective communicator with all levels of management Key Duties Patient Care Setting up and maintaining an appointment system for the department, ensuring all available clinic slots are filled using PAS and Synopsis and by following the Pre-Operative Assessment (POA) process.

Greeting and directing patients within the department for POA or Anaesthetic clinic (to cover annual leave/sickness). Checking and updating PAS details with a focus on the #CallMe initiative.

Answering telephone enquiries and referring to the appropriate senior member of staff if unable to help.

Record the patients attendance to clinic and outcome their appointment on their departure Notify consultant secretaries of DNAs via the agreed proforma Escalating short notice requests to the capacity co-ordinators appropriately and working on a resolution alongside the nursing team.

Preparing notes/admission packs to support trained staff Ensure the smooth daily running of the Pre-Operative Clinic reception desk and training any junior staff in all aspects of customer awareness Ensure staff are trained and monitored in the effective use of the PAS/Outpatient Appointments and Clinical Data System, providing update/refresher training as required.

Monitor data quality alerting PAS/IT Trainer of staff training needs.


Ensure clinic numbers/rules are updated and all staff are aware of the changes Liaise with the PAS Co-ordinator regarding OPD/PAS appointment fault, system availability etc Assist any patients who wish to complain, completing a minor complaint form as necessary or bring to the attention of the Nurse in Charge Liaise with the Capacity Co-ordinator when booking annual leave Liaise with the information Department to enable the collection of correct information for contracting.

Liaise with ambulance control for ensuring the patients return journey home is scheduled Participate/facilitate patient surveys on request Assist in altering clinics and informing patients Monitor the Envoy system for patients response to text messages and action where necessary to amend appointments and speaking with patients if clarification is required.

Liaise with the Anaesthetic department, where necessary, to co-ordinate patient appointments and minimise the number of visits to the hospital.

Maintain core knowledge of both Synopsis and the POA process and how this impacts on the booking of appropriate appointments Provide regular feedback and updates to secretaries, booking co-ordinators and directorate team not utilising the SOP to request POA appointments Work as part of a team to regularly review and update necessary appointment letters/information relevant to the department.

Knowledge of the Band 4 Capacity Co-ordinator role and ability to step up in times of leave/absence. Maintain strong professional relationships with the POA nursing team and Senior Sister for the department.

Any other duties within the grade of the post as required by the Directorate manager Education and Training Maintain knowledge of Trust administration systems such as PAS Attend mandatory Trust training Maintain knowledge of Microsoft office and its importance within the department.

General Responsibilities To ensure the confidentiality of all patient information and Trust business To comply with all Trusts Policies and Procedures To report any accidents, untoward incidents and complaints.

Ensure post delivered to the clinic is distributed accordingly. Any other duties within the grade of the post as required by the Directorate manager
