As a Buying Administrator you will be working in a close-knit team with your buyers, supporting and assisting them with their day to day administrative duties and playing a big part in ensuring the department is running smoothly and efficiently.

What you will be doing

  • Provide structure and routine to the team, through a mixture of scheduled tasks and providing ad hoc support to your partnered Buyers.

How you will do it

  • Processing purchase orders, ensuring they are entered on to our order system in a timely and accurate manner. Chasing line forms from suppliers to ensure that you have the most up to date essential information.
  • Chasing and filing all documentation to ensure we can import and export our stock efficiently without hold ups at customs borders.
  • Keeping up to date with expected delivery dates using ''POs due report'', chasing suppliers for updated delivery information and ensuring that any revised dates are amended on our systems.
  • Arranging collection and transportation of goods from suppliers by obtaining all the correct paperwork such as Invoice, packing list, photographs, dangerous goods notes (DGN) & CMR from your supplier to enable the logistics team to get quotes.
  • Manage stock received into the business by reviewing and approving the ''checking in'' on the warehouse management system. Thoroughly review any discrepancies between system data and warehouse and escalate issues to your buyers. Review the quality control sheets alongside the checking in to ensure the information is accurate on the system.
  • Ensure that our stock management system has up to date descriptions, expiry dates, photographs, country of origins & RSPs.

Essential requirements

  • A confident and articulate communicator, in both verbal and written correspondence
  • High degree of accuracy and attention to detail
  • Proficient knowledge of MS Office, particularly handling data in excel.
  • Flexible and able to prioritise a changing to do list
  • Confident working in a fastpaced environment with the ability to work under pressure to meet deadlines.
  • Adapts well to change.
  • Ability to follow instruction and work well as part of a team, but also use your initiative to question and seek out better ways of doing things.
  • Contribute positive attitude towards work and within the team.

Desirable requirements

  • Experience in working in a fastpaced, office environment.
  • Driving License would be advantageous due to occasional travel requirements.
