What the job is about


This is a role in a busy operational team, focused on ensuring that our customers have the best experience whilst undertaking their qualification programme with us.

Your main responsibility will be to ensure that all necessary resources are at the right place at the right time allowing for the smooth running of all Sava training programmes.

You must be customer focused and have a meticulous attention to detail.

You will also be able to demonstrate strong organisational skills and possess the initiative to complete tasks with little supervision.


What you'll be doing
You'll be working on a number of operational tasks, working with other Sava team members. But you will also have a number of project-based tasks, dependant on business need. You may be working independently or part of a larger project team.

The list below is an initial scope of what these tasks could be and will flex according to the needs of the business and your abilities.


Day to day operational tasks:

  • Provide administrative support to the training, sales, and marketing departments.
  • Take responsibility for fulfilling all physical materials that need to be sent to our customers including stock levels are maintained, including following up with several spot checks to ensure they have arrived safely.
  • Coordinate ad hoc meetings/events with third party venues ensuring internal and external customers are kept up todate and invited accordingly.
  • Liaise with external trainers to ensure we are still scheduled in their calendars.
  • Create schedules checking availability with venues and book trainers.
  • Order and maintain sufficient supplies e.g. books, stationary, general office supplies according to agreed processes.
  • Ensure learners are registered onto appropriate systems i.e., Sava Learn, BRE, Rightmove, Elmhurst etc and send joining instructions.
  • Deal with Awarding Body enquiries and ensure all learners are registered onto the correct qualification and examination course.
  • Attend virtual & face to face classroom events where required, arriving early to greet trainers and customers and ensure that customers are receiving agreed service levels from venues.
  • Maintain excellent records of all customer interaction on the customer relationship management system.
  • Process invoices from trainers, venues and others.
  • Deliver presentations to learners at induction to introduce Big Blue button and Sava Learn resource systems and facilitate chat boxes to ensure learners queries are answered.
  • Schedule and moderate thirdparty webinars that we facilitate for our learners.
  • Create events within Sava Learn and book learners onto events in line with their course schedules ensuring they are kept up todate with changes.
  • Liaise with our learners once they have completed their qualification, sending out certificates and declarations.
  • On completion of programme ensure learners are removed from all systems and access is removed.
  • Keep statuses updated of any internal changes and maintain excellent records of all customer interaction on the customer relationship management system.
  • Organise practical day sessions, including communications to learners and trainers, also ensuring logistics of equipment is arranged.
  • Organisation of Accompanied Inspection dates, including communications to learners prior to inspection and uploading documents for assessment.
  • Maintain excellent records of all customer interaction on the customer relationship management system.
  • Liaise with external venues agent re venues for training including visiting new venues to assess suitability.
  • Update and maintain previous events section within Sava Learn.
