The purpose of this role is to provide effective financial, administrative and performance support to Housing, Building Services and Fleet Management, leading the financial and administrative support and management team.


"It is a contract-based role starts from 20th August 2023 till 22nd March 2024".

Job Description:
-


  • Role involves creating and submitting monthly financial monitoring reports for Fleet Management, Housing and Building Services, and the appropriate Budget Holders.
  • To efficiently manage the "Business Support/Administration Team," making sure that the job is accurate and done to the highest standards.
  • Organise the section's workload, plan and assign tasks, and supervise work teams to make sure service objectives are reached.
  • Achieving and maintaining the service's financial viability while making sure that all its resources are used to their greatest potential.
  • Oversee the smooth and successful functioning of the Council's storage facility, which is located at the client's location. Ensuring the use of reliable procurement processes to provide products at a fair price and to run efficient "impress" van stock systems.
  • Assist Fleet Manager with the production and implementation of Annual Service Level Agreements (SLA's) for vehicle recharges to clients.
  • Ensure that all invoices for housing and building services are processed promptly.
  • Creating budget estimates for Fleet Management, Housing, and Building Services in collaboration with the Accountant Manager for those services and assisting with the closure of accounts within set deadlines.
  • Manage, control, and administer any performance measures and/or reports necessary for team/service planning review regarding Fleet Management, Housing and Building Services, and other departments.
  • To oversee and manage the purchasing procedure for building services materials and supplies in compliance with the Council's procurement policies.
  • Participate in monthly financial monitoring meetings with the Service Accountant Manager and deliver monthly reports and information for certain service areas within Housing and Building Services.
  • To implement the principles of the Council's Equal Opportunity Policy whilst carrying out the above duties
  • Report without delay any safeguarding concerns to the appropriate safeguarding officer.
  • Implement the principles of the Council's Environment Policy while carrying out the above duties.
  • To assist the Operational Manager in managing and maintaining the yard.
  • Oversee and manage the delivery of pertinent, timely, and correct statistical data and information needed for the accomplishment of internal and external benchmarks.
  • Manage and supervise the process of counting and depositing the money collected from different parking lots in the Vale of Glamorgan.
  • Experience of providing a range of financial information to senior officers.
  • Experience of a wide range of software packages needed to deliver financial services.
  • Clear understanding of systems and their interaction to support service delivery.
  • Minimum of 3 years' experience of a wide range of support functions e.g. performance, financial and administrative duties within the public sector.
