SALARY GRADE:

SALARY:
£21,192 (Pro Rata)

HOURS:22.50 Per Week Hours

39 Weeks Per Year (term time plus 1 week)

JOB PURPOSE:
To support the college by providing administrative support and an efficient and courteous reception service.

This post is eligible for a DBS check under the Rehabilitation of Offenders Act 1974 (Exceptions) Order

1975 (i.e. it involves certain activities in relation to children and/or adults) and is defined as regulated activity under Part 1 of the Safeguarding Vulnerable Groups Act 2006.

Main Duties and Responsibilities

  • Meeting and assisting guests and visitors.
  • Answer telephone calls and ensure appropriate action is taken.
  • Ensure that face to face enquiries are dealt with appropriately.
  • Operate standard office equipment, franking machine, photocopiers.
  • General office duties such as photocopying, shredding, filing etc.
  • Distribution of incoming mail (pigeon holes) and franking outgoing mail.
  • Ensure information/literature in the office is kept up to date.
  • Compile and distribute the weekly staff bulletin including updating the college calendar.
  • Responsible for bookings and trips.
  • To undertake word processing e.g. letters, reports, memos etc.
  • To carry out such other administrative tasks and duties as required by the line managers.
  • Student and parent liaison where required.
  • Cover for Admin and Resources Team where needed
  • React and adapt positively to change.
  • Deal with confidential matter with professionalism and integrity.
  • Communicate with individuals at a range of levels.
  • Develop individuals and team members.
  • Meet challenges.

Person Specification

Essential Desirable

Qualifications Ability and confidence to question and clarify information.
Level 2 qualifications in maths and English (GCSE).

Experience
Administrative experience.

Successful experience of working in a team.

Knowledge
Competent use of Microsoft packages.

Understanding of the importance of confidentiality and an appreciation of the implications of the Data

Protection Act.

An understanding of health and safety issues relevant to the post.

Skills/Attributes
Keyboard skills/word processing.
