DURATION/Hours: 3-month initial contract/ 21 hours a week

Purpose of role:

  • Ealing Council has been awarded funding by the Department for Education (DfE) to deliver the Holiday Activities and Food (HAF) programme for children eligible for free school meals (FSM) in the London Borough of Ealing
  • Holiday Activities and Food (HAF) Programme Administrator will provide administrative support to the HAF team for the coordination, development and delivery of the HAF programme.
  • To provide assistance to parent and carers, providers and stakeholders who contact the HAF team.

Duties & responsibilities:

  • To deal with enquiries from members of the public, staff and external agencies in a helpful and customerfocused manner
  • Promote the HAF programme to parents/carers, schools and other professionals to encourage participation by producing and disseminating publicity, notices and other communications, including updating the HAF website, ensuring information is kept up to date.
  • To provide support for eligible families to register for benefits related free school meals, signpost to professionals/agencies when required and support booking on to HAF provision through the booking system.
  • To research and identify voluntary organisations, communities, public bodies and private businesses to support the HAF programme.
  • To engage with delivery partners to ensure that systems are in place to monitor and evaluate the HAF programme on an ongoing basis.
  • To undertake finance duties including setting up new suppliers, handling purchase orders & invoices, ensuring payment errors are rectified, updating supplier payment terms, troubleshoot any finance issues
  • Issue funding agreements to HAF providers and collating and filing responses
  • Organise meetings by diary management, sending invites, compiling relevant documents, minute taking and follow up on any actions.
  • To update and maintain systems and processes, some of which may include sensitive information.
  • To create online surveys as directed by the HAF team

Knowledge & experience:

  • Understanding of administrative processes and an ability to implement effective systems for the service
  • Understanding of customer care and the ability to deal with a range of queries from people in a helpful and positive way.
  • High Level communication skills both oral and written in order to deal effectively with enquiries, minute meetings, prepare reports and present information clearly in different formats and to a range of people.
  • IT skills including Word, Excel, databases and information systems.
  • Knowledge of financial Information systems would be desirable, but a general understanding of financial systems is essential.
  • A knowledge and commitment to safeguarding and promoting the of children welfare, young people
  • Understanding of Data Protection, confidentiality and security of information within databases and information systems.
