Job Overview:
Key Responsibilities:
- Take accurate and detailed meeting minutes and ensure their distribution and followup.
- Schedule and manage appointments effectively.
- Act as a point of liaison with certification bodies to arrange audit dates and handle related communications.
- Provide prompt and professional responses to incoming calls and distribute messages accordingly.
- Offer general administrative support across various departments to facilitate efficient business operations.
- Manage the ordering and stocking of office stationery and supplies.
- Maintain and update project management tools, including Jira, and ensure all data is current and accurate.
- Track internal software usage.
- Oversee the ActiveCampaign CRM system, conducting regular quality checks.
- Manage and update client nonconformance registers, ensuring issues are documented and addressed.
- Analyse client feedback and service delivery to identify areas for improvement and enhance the client experience.
- Support marketing initiatives and manage the distribution of client gifts.
- Produce documents, reports, and client folders as directed, ensuring high standards of accuracy and presentation.
- Support to accounts with invoicing queries.
Requirements:
- Proven experience in an administrative role, preferably within a compliance or regulatory environment.
- Strong organisational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent communication skills, both written and verbal, with an aptitude for building relationships with clients and colleagues.
- A keen eye for detail and a commitment to highquality work.
- Ability to work independently as well as part of a team.
