Job Overview:

Key Responsibilities:

  • Take accurate and detailed meeting minutes and ensure their distribution and followup.
  • Schedule and manage appointments effectively.
  • Act as a point of liaison with certification bodies to arrange audit dates and handle related communications.
  • Provide prompt and professional responses to incoming calls and distribute messages accordingly.
  • Offer general administrative support across various departments to facilitate efficient business operations.
  • Manage the ordering and stocking of office stationery and supplies.
  • Maintain and update project management tools, including Jira, and ensure all data is current and accurate.
  • Track internal software usage.
  • Oversee the ActiveCampaign CRM system, conducting regular quality checks.
  • Manage and update client nonconformance registers, ensuring issues are documented and addressed.
  • Analyse client feedback and service delivery to identify areas for improvement and enhance the client experience.
  • Support marketing initiatives and manage the distribution of client gifts.
  • Produce documents, reports, and client folders as directed, ensuring high standards of accuracy and presentation.
  • Support to accounts with invoicing queries.

Requirements:

  • Proven experience in an administrative role, preferably within a compliance or regulatory environment.
  • Strong organisational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent communication skills, both written and verbal, with an aptitude for building relationships with clients and colleagues.
  • A keen eye for detail and a commitment to highquality work.
  • Ability to work independently as well as part of a team.
