Key Duties and Responsibilities

  • Provide administrative support to the Director of Greenkeeping on a variety of tasks including confidential matters and project work.
  • Manage the administrative function of the Greenkeeping Workshop, which includes maintaining accurate records of purchase orders and deliveries, stock records, job sheets, service logs, machinery database and general file maintenance.
  • Act as the first point of contact, fielding enquiries on behalf of the Director of Greenkeeping, taking the initiative to deal with enquiries where possible.
  • Manage all correspondence and electronic diaries for the Greenkeeping department.
  • Monitor relevant budgets, invoices and purchasing.
  • Facilitate and attend Green Sub-Committee meetings and Senior Greenkeeping team meetings, including minutetaking and postmeeting documentation.
  • Administration of relevant documents/licences with statutory bodies (SEPA, Marine Scotland, Fife Council etc.)
  • Collate and input information relating to GEO Accreditation.
  • Develop, implement and streamline office procedures/processes.
  • Coordinate training arrangements and related travel plans for Greenstaff.
  • Provide administrative support during the recruitment process of Greenstaff.
  • Manage the alarm fob register for the Jubilee Greenkeeping Centre.
  • General support to Greenkeeping Departmental Managers where required.
  • Assist with any adhoc duties.
