In the role you will provide high-quality committee servicing and administrative support, and contribute to the work of the wider Governance Office, to ensure the effective operation of the corporate governance arrangements.


Duties of the Post:

  • Provide administrative and secretarial support for meetings

This will include:

  • Communicating with internal and external members
  • Supporting the collation, preparation and distribution of meeting papers to agreed timescales and standards
  • Producing briefing notes and preparing minute templates, and drafting papers and reports
  • Writing committeestandard minutes for approval
  • Monitoring, implementing and reporting on the progress of agreed actions
  • Communicating decisions to relevant stakeholders
  • Supporting the scheduling of agenda items
  • Updating and maintaining relevant document repositories and archives
  • Serve as secretary to, advisory, and task and finish groups
  • Provide support for the appointment and/or the recruitment
  • Maintain accurate membership records, including the register of interests and declarations of related party transactions, ensuring that the information is recorded securely and disseminated appropriately
  • Manage the membership of the corporate governance subscription and mailing lists
  • Manage the Governance Office budget and procurement activities for the team, with oversight and responsibility provided by the Head of Corporate Governance
  • Work with colleagues to ensure that policies are reviewed and updated to agreed timescales, and that they are approved at the appropriate time by the appropriate decision making body

PERSON SPECIFICATION

Qualifications /Training

  • Educated to Alevel or equivalent standard or experience
  • Qualifications demonstrating proficiency in the use of IT, such as the ECDL

Experience/Knowledge

  • Relevant administrative experience in a complex organisation
  • Experience of producing high quality briefing notes and minutes
  • Understanding and experience of keeping accurate financial records, monitoring spend against budget and implementing financial procedures
  • An understanding of the principles of corporate governance and regulation in the UK higher education sector

Skills/Abilities

  • Excellent organisational, planning and time management skills and the ability to prioritise tasks and work to competing deadline
  • The ability to work accurately and with attention to detail within appropriate regulatory and other contextual frameworks
  • The ability to work effectively, proactively and to a very high standard
