Executive Assistant to Group Executive Board

Typical duties, but not limited to:

  • Handling an extensive range of administrative functions ranging from extensive and complex diary management across various time zones.
  • Inbox management for the Group Exec Support where appropriate.
  • Effective management of online files/SharePoint site for the Group Board.
  • Editing, collating and distribution of briefing papers for all Group Board meetings.
  • Management and organisation of largescale meetings including Board meetings taking place in the UK and overseas.
Organising internal meetings, lunches and dinners and office events as required.

  • Planning of events and workshops, both internal and external including client lunches and dinners.
  • Planning and booking of international / national travel arrangements, including liaising with local and global MM offices for scheduling of local meetings and events.
Operating in line with Group Travel Procedures as well as Travel and Security Guidance when arranging travel, visas, accommodation and other logistics, and lead by example

  • Access and compile management information from the Group management systems.
  • Collaboration with the MM Regional and Group team of EAs, Finance, Communications, People, Facilities, and other support functions within the company to ensure smooth running of all processes in relation to the Divisional General Manager.
  • Providing additional support where needs be to the wider Group Board and Group Exec Assistants.
  • Demonstrate a high level of competency with the varied software packages and document control systems used within Mott MacDonald (Microsoft Office, STEP, Connect Business)
  • Providing additional support when required to the wider Group Board and Heads of Functions.
  • Preparation of signing confidential legal documentation for Group Board ensuring it is completed by the deadline's provided.
  • Meet and greet visitors and clients when needed
  • Maintain and monitor budgets and expenses, ensuring they are in company policy
  • General Admin support
To be successful in this role it is essential that you have:

  • High level of flexibility and adaptability
  • The ability to multitask and prioritise an everchanging workload
  • The ability to work under pressure and reach deadlines
  • The ability to work independently and remotely from line manager when required
  • Relevant experience in a role that incorporates the major components of the duties and responsibilities noted below.
  • Proficiency with Microsoft Office 365, including, Outlook, Word, Excel, PowerPoint, SharePoint, OneDrive, etc.
  • Excellent communication and interpersonal skills
  • Organisation and time keeping skills
  • Demonstrable initiative and assertiveness
  • Professional approach to work environment
  • Ability to independently develop and implement activities within overall tasks allocated
  • Ability to work to deadlines
  • Adaptable team player working with a small team covering a wide range of activities
  • The ability to be proactive
  • The confidence to communicate with senior management (Group level)
  • A friendly and approachable deposition with willingness to help
  • The ability to build relationships at all levels across the business and with external contacts
