we have a new and exciting role come in to work for Leicestershire Police at their headquarters as an Occupational Health Administrator.

This role will be working Monday to Friday 18.5 hours a week.


This role is o support delivery of the aims of the Regional Occupational Health Unit, providing a confidential administrative service in a customer facing environment.

Core Responsibilities/ Accountabilities

Operational:

  • Be a team player supporting regional colleagues to deliver the departments objectives and targets.

Technical:

  • Input, amend, search and retrieve information on computer systems, including but not limited to Outlook and Microsoft Packages and Cyclops.
  • Comply with Force policies and processes to provide medical information from manual and/or computerised record systems, to those parties authorised to receive it in line with Data Protection and Freedom of Information Acts, to meet stipulated deadlines.
  • Use of local Force computer systems and, when available, Leicestershire lap top to maximise ability to undertake tasks from varying locations.

Communication:

  • Act as first point of contact and reception service for callers and visitors, providing full support to clinics.
  • Be a team player supporting colleagues to deliver objectives and meet targets.
  • Contribute to group, team and whole service meetings.

Administration:

  • Ensure tasks meet recognised KPI timescales wherever possible, identifying and flagging to SLT where targets may not be achieved.
  • Maintain effective OH filing systems, including joiners and leavers, to ensure OH data is up to date and is securely stored and maintained within GDPR guidelines.
  • Maintain an electronic customer appointment system, maximising clinicians' availability
  • Manage incoming correspondence and telephone/personal queries signposting to the appropriate clinician/dept. whilst maintainin confidentiality.
  • Prepare and distribute FMO medical reports within agreed timescales.
  • Receipt and distribution of post and invoices in line with agreed processes.
  • Support clinics
  • Operate an efficient bringforward/retrieval system to support the Unit's activities (eg medical reports, reviews etc)
  • Prepare Ill Health Retirement/Injury on Duty/Release of Benefits/Deferred Benefits, typing letters and obtaining relevant consents in accordance with guidance from FMO/Line Manager.
  • Recognise and action Subject Access requests within legal timescales.
  • Act as nominee to manage appointment bookings for recruitment and Health Surveillance appointments, to ensure appropriate timescales are met.
  • Maintain and organise stationery provisions for your unit
  • Provide assistance/support to new colleagues and support with their training as requested in line with plans devised by line managers.
Essential Criteria

Knowledge/ Education (including qualifications):

  • Grade C or equivalent in English Language and ability to demonstrate by example experiences of working to that standard.
  • Ability to type and produce documents to a high standard using Microsoft packages, including, but not limited to, Microsoft Word and Excel.

Work Experience:

  • Demonstrate ability to undertake administrative activities in a customer facing environment, including coordination of appointments and providing assistance to callers and clients.
  • Demonstrate ability to accurately input, retrieve, maintain and search for information on electronic databases, filing systems and/or document management systems (paper and electronic).
  • Demonstrate ability to work to strict deadlines in a pressured environment with minimum supervision, using initiative in prioritising tasks and workloads.
  • Demonstrate experience of working in a confidential environment with an understanding of the Data Protection Act/GDPR.

Personal / Interpersonal Skills, Aptitudes:

  • Demonstrate ability to communicate effectively at all levels, especially when dealing with sensitive issues.
  • Demonstrate a flexible approach in providing support within a regional department.
Desirable Criteria

Work Experience:

  • Experience of working in a medical environment.
  • Previous use of data management systems.
  • Some knowledge of GDPR/ Freedom of Information Act/Subject Access.

Personal / Interpersonal Skills, Aptitudes:

  • Flexibility and willingness to support local and regional colleagues
  • Access to a vehicle for regional travel would be advantageous
