General Purpose

To provide clerical support to the Consultants / Branch Manager / Partners / Senior Partner of the branch.
To complete the branch's weekly payroll in line with the Organisations set policies and compliance criteria.
To be the first point of contact for clients and candidates contacting the branch
To effectively register new and update existing candidates on the Organisations in house database.

Duties / Responsibilities

General Duties

Promptly answering all inbound telephone calls and directing them accordingly.
Filtering calls during key sales times.
Open and distribute the daily post.
Formatting of CV's to be sent out to clients.
Registering all candidates on the Organisations in house database.
Obtaining references / temp leads from candidates.
Placing job advertisements.
Ordering necessary office stationary.
Producing letters to clients and candidates.
To communicate to the Branch Manager / Senior Partner and assist in the formulation of the resolution of any queries in a timely and efficient manner.

Payroll

To generate and send out weekly time sheets in the most appropriate format; ideally via email.
Gather completed time sheets from both clients and candidates in a timely manor so they may be processed before the Organisations payroll deadline.
Check all time sheets for correctness against information entered onto the Organisations in house database.
Considerable care must be taken to check: week ending date; total hours; signature and the correct signed date.
Enter time sheets onto the Organisations in house database before the payroll deadline and scan all processed time sheets to Back office Nationwide.
Meticulously check the validations and correct any discrepancies with assistance where required.
Organise and set up new starters.

Compliance Management

Ensure that registration forms are sent to candidates in the most appropriate format; ideally via email.
Ensure all placements supply the correct supporting documentation in line with the Organisations stated ISO recruitment policies and procedures including but not limited to Eligibility, Qualifications, Health & Disability etc.
Ensure that all AWR information requests are sent to the clients at the appropriate time intervals.

Report any known accidents immediately in accordance with the IMS manual.
Notify the Branch Manager / Senior Partner of any commercial queries which are likely to result in non payment or delayed payment of invoices.

Resourcing

Locate and secure candidates for positions
Carry out required reference checking
Build and maintain a database of available candidates
Generate and complete all necessary paperwork for transmission to accounts and payroll for all starts and terminations.
Maximise % margin when filling vacancies
Ensure company recruitment procedures are followed at all times
Obtain candidate appraisals when finishing a contract
Ensure non conformance reports are completed when appropriate
Management of candidate database i.e. duplications
Advert response sheets are collated and filled out correctly at all time
Ensure sales consultants are given sales leads from referencing / advert response
Work records are kept up to date on all operatives

Health and Safety & Environmental

Promote 100% compliance to the Organisation's Health and Safety policies and procedures. Work with all colleagues to promote Health and Safety as an absolute priority for the Organisation.
Communicate and promote the Organisation's absolute commitment to Health and Safety in the Client and candidate marketplace.
Ensure all Health and Safety relevant criteria are met at all times.
Take a pro active approach to identifying potential (or otherwise) breaches of Health and Safety both internally and externally.

Represent the company in a professional and personable manner.
Work collaboratively with the colleagues throughout the Organisation to meet all commercial or otherwise aims of the business.
