Office Manager & Research Support - Temporary Maternity Cover for fixed 12-month term
Maru is seeking an Office Manager & Research Support to cover a Temporary Maternity leave. This role is critical in ensuring the smooth and efficient operation of the office and requires a proactive, collaborative and adaptable individual capable of managing diverse tasks to support the overall success of the organization.
In this role you oversee day-to-day administrative tasks, including handling correspondence, managing suppliers, coordinating meetings, and completing routine administration for our research projects.
This role is a Temporary Maternity Cover for fixed 12-month term (from November 2024) and is a flexible role that can be part time with a minimum of 25 hours per week or full-time for the right candidate. We require someone that can work on a hybrid schedule and can be in our Southampton office at least two days each week.
Maintain office supplies, equipment, and facilities to ensure a well-functioning work environment
Oversee office budget and expenditures, maintaining accurate financial records
Implement and optimize office procedures and workflows for maximum efficiency
Manage incoming and outgoing communications, including emails, phone calls, and other correspondence.
Support the organisation of office events, team-building activities, and staff meetings
Support compliance with workplace policies and regulations
Facility and safety oversight – Coordinate with maintenance and cleaning services to maintain and ensure the office environment is clean, safe, and conducive to productivity.
Project Management – Plan and execute office projects, ensuring they are completed on time and within budget and monitor progress and provide updates to stakeholders
Problem solving and Decision-making – make informed decisions to improve office processes and enhance overall efficiency
Stay updated on office management best practices and industry trends
Proven experience in office management or a similar administrative role
Proficient in the use of Microsoft Word, Excel and related computer software packages
