The HR Shared Services Specialist at Loftware will be responsible for ensuring the accurate and timely processing of payroll in all EMEA and APAC where we are present, offering the best employee experience with HR administration, reporting, and maintaining HR data integrity within the HRIS. You will also develop a global compensation and benefits policy and make sure it is implemented and followed globally. The ideal candidate will have strong technical expertise, exceptional organizational skills, and the ability to handle confidential information with discretion. We are looking for someone who is going to play an integral part in taking our people operations and employee experience to the next level.

Key Responsibilities and Tasks

Payroll Administration:

  • Prepare monthly payroll input data for the following countries: UK, Slovenia, Germany, Singapore, China, Taiwan, France, Sweden, and the Netherlands.
  • With the exception of the UK and Slovenia, you will collaborate with outsourced local payroll providers with knowledge of local specifics.
  • Stay abreast of payroll tax laws and regulations, implementing necessary changes to payroll processes as required.
  • Prepare and submit payroll reports and filings.
  • Work closely with finance and accounting teams to reconcile payroll data and resolve discrepancies.
  • Support our Finance team in providing the historical data for audits and other purposes.

Benefits Administration:

  • Administer employee benefits programs, including health insurance, retirement plans, and other benefits, aligned with local policies.
  • Manage benefits enrollment, changes, and terminations, ensuring accurate and timely updates in the HRIS.
  • Serve as the point of contact for employee inquiries regarding benefits, providing guidance and support as needed.

Compensation and benefits policy:

  • Support development of the global compensation policy and take care of its presentation to the employees and its implementation.
  • Defining a fair, equitable and competitive total compensation and benefits package.
  • Ensuring that compensation practices are in compliance with current legislation.
  • Ensure we have the right salary benchmark for all locations and job roles of our employees.

Employee Support:

  • Provide support to employees on HR-related inquiries, including payroll, benefits, and HR policies.
  • Handle onboarding and offboarding processes, ensuring a smooth and efficient experience for employees.
  • Conduct HR-related training sessions and workshops for employees as needed.

Confidentiality, Compliance, and Reporting:

  • Handle sensitive employee information with the utmost confidentiality and discretion.
  • Ensure adherence to all relevant laws, regulations, and company policies related to payroll, benefits, and HRIS management.
  • Conduct regular audits of HRIS data and payroll records to maintain data accuracy and integrity.
  • Create and run reports for the EVP of People, Finance and other teams as needed.

Qualifications

Experience and Skills

  • Minimum of 3 years of experience in payroll administration, preferably in a global or multi country role, benefits management, or compensation and benefits field.
  • Strong capabilities in payroll processing and benefits administration & their systems.
  • Proficiency in HRIS systems (e.g., Lattice, Paycom, UKG, ADP) and payroll software.
  • Excellent organizational and time management skills, with the ability to manage multiple priorities and meet strict deadlines.
  • Excellent communication and interpersonal skills, with the ability to handle sensitive and confidential information.
  • Knowledge of local employment laws and regulations and the motivation to expand your knowledge on the field.
  • Experience working in a private equity company that has a growth mindset is a plus.
  • Ability to work independently and manage priorities and time effectively.
  • Strong analytical and problem-solving skills, with very high attention to detail.

Education

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.

Additional Preferred Experience & Soft Skills

  • Experience or strong interest in leveraging AI technologies to enhance HR processes, including predictive analytics for workforce planning, AI-driven chatbots for employee inquiries, and machine learning for payroll accuracy and benefits optimization.
  • Approach challenges with a proactive and solution-focused mindset.
  • Quickly adapt, pivot, and adjust priorities in response to changing circumstances.
  • Exhibit maturity in handling challenging situations, maintaining composure under pressure, and demonstrating discretion when dealing with sensitive information.

  • Strong analytical skills and attention to detail, with the ability to work autonomously and manage multiple priorities effectively.
  • Excellent communication and interpersonal skills, with the ability to collaborate cross-functionally and interact with employees at all levels.
