Venterra’s Geoscience team is made up of market-leading experts from Ordtek, GDG, and Partrac. We offer unparalleled site characterisation, geoscience management, sediment processes, UXO management, and GIS and data services, tailored to meet the comprehensive needs of our clients.


Role Description:


The Project Administrator will play a pivotal role in supporting project management activities by ensuring efficient coordination, communication, and documentation throughout the project lifecycle.


Key responsibilities:


  • Assist in preparing and issuing project reports, ensuring all documents are properly filed and accessible. Prepare regular status updates for stakeholders.
  • Support team leads with the quality assurance and quality control (QA/QC) of client deliverables, ensuring compliance with ISO9001 standards and that deliverables meet required standards. Collate client feedback and resolve any issues.
  • Oversee the administration involved in opening and closing projects, including archiving, setting up data environments, and updating project trackers.
  • Support the resourcing coordinator in tracking offshore representative timesheets, monitoring costs, and handling other administrative tasks.
  • Assist in monitoring project budgets and financial expenditures and coordinate the allocation of project personnel.
  • Organise and coordinate project meetings by preparing agendas, taking minutes, and distributing them.
  • Assist team leads in developing and maintaining project schedules. Facilitate communication between project team members and stakeholders to ensure smooth project operations.
  • Track project issues and collaborate with the team to resolve them promptly.
  • Ensure the project complies with all relevant regulations, standards, and policies.


Expertise required:


  • Geoscience project administration/coordination experience.
  • Ability to manage multiple tasks and priorities efficiently.
  • Strong time management to meet deadlines.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office Suite.
  • Ability to analyse data and generate reports.
  • Understanding of project management methodologies and frameworks.
  • Knowledge of QA/QA processes in relation to ISO9001.
  • Basic understanding of budgeting, financial tracking and cost management.
  • Willingness to support team members and contribute to collective goals.
  • Respecting and maintaining the confidentiality of sensitive project information.
