We are seeking an Executive and Personal Assistant to support the dynamic needs of a multi-faceted entrepreneur managing both professional projects through The Brand Muse and Country Content brands, and personal life management. This hybrid role involves a blend of in-office (NG125PA) and remote work, designed to streamline daily operations, enhance organisational efficiency, and support ongoing projects and personal tasks. Success in this position looks like a seamless integration into diverse workflows, demonstrating proactive problem-solving, impeccable organisational skills, and a high degree of adaptability. This role is pivotal in maintaining the smooth operation of both business activities and household management, significantly contributing to the efficiency and effectiveness of our ventures.


Responsibilities:
  • Calendar Management: Efficiently manage scheduling for appointments, meetings, and personal commitments using Microsoft Outlook/Teams, ensuring optimal organisation of the entrepreneur’s time.
  • Email Management: Prioritise and respond to emails, manage subscriptions, and keep the inbox organised to facilitate swift communication.
  • Client Onboarding and Communication: Set up client portals and manage client communications to enhance relationship management.
  • Financial Administration: Keep accurate records of business and personal finances, including receipts and bill payments, to ensure proper budget management.
  • Home Management & Logistics: Oversee household operations, including shopping, maintenance scheduling, and project management, to ensure the home environment is efficiently organised. Handle the selection, purchasing, and delivery of gifts for personal and professional contacts, demonstrating thoughtfulness and attention to detail.
  • General Office Organisation: Maintain office supplies, ensure all equipment is functional, and keep the workspace organised to support productivity.


Qualifications:
  • Skills: Exceptional organisational and time management skills; proficient in Microsoft Office software; strong communication and interpersonal skills. Platform knowledge of Notion, Later, Flodesk or Squarespace preferred but not essential.
  • Experience: At least 3 years of experience in an executive assistant, personal assistant, or similar role, with proven ability to manage professional and personal environments.
  • Certifications: Any relevant certifications in office management, administrative assistance, or project management will be considered an asset.
