Principal Duties and Accountabilities
We are looking for a talented Executive Assistant to take on a challenging and rewarding role supporting our Senior Leadership Team (SLT) in our offices in Potters Bar.
You will take ownership of extensive diary management, coordinating internal and external meetings, for key members of the Senior Leadership Team. You will also be responsible for processing expenses, arranging virtual meetings, managing travel, as well as organising and preparing material for key meetings and communications. Your support may be required in preparing meeting agendas and other relevant documentation and tracking actions.
Being a confident individual, you will enjoy working with stakeholders across all levels of our organisation, building networks and supporting colleagues.
Often working independently and in a fast-paced environment, you must be able to respond to changes in client and stakeholder demands with composure and have the flexibility to adapt to changing situations. You will enjoy developing your skills and coaching others to increase capabilities with the team. A consistent focus on high work quality is essential in all aspects of the role.
General Duties
- Supporting SLT
- Full diary control
- Organising Board meetings and associated document production
- Comfortable understanding and drafting minutes with actions & following-up
- Arranging execution of documents
- Cross collaboration with Private Equity investors and Senior Leadership team for meetings
- Frequent international travel logistics
- Creating reports & presentations in PowerPoint
- Planning events (small and large corporate dinners, team building days, Board dinner and drinks, in office events and training) in supportive role to Business Communications
- Assisting with SLT meetings in Head Office
- Answering audit requests
- Providing additional & ad hoc support to the HR & Business Communications
Skills - Essential
- Proven experience of providing full PA/administrative support at a senior level.
- Confident and experienced using Microsoft Office and other web-based systems
- Excellent written and verbal communication skills.
- Excellent administrative, interpersonal, time management and organisational skills.
- Ability to think beyond boundaries of own job, challenges status quo and seeks opportunities for continuous improvement.
- Excellent team working, networking and influencing skills and ability to engage relevant JSM employees in developing solution.
- Full UK Driving License
