Requirements

Methods is currently recruiting for a Delivery Support and Assurance Administrator to join our team on a permanent basis. This role will be in our London office with remote working as feasible. This role may include travel around the UK as required.

The Delivery Support and Assurance Administrator will be expected to work as part of the Methods Delivery Support and Assurance Team. They will be supporting the administration and assurance projects and associate placements.

The ideal candidate will need to have demonstrable experience of business support and administration. In addition to the skills and understanding of business process and administration, they should also have excellent interpersonal skills to communicate across the business and with clients and associates.

Although the Delivery Support and Assurance Administrator will have a portfolio of responsibilities specific to their area of expertise and grade, it is expected that they will develop a set of skills, competencies and knowledge to operate effectively within their role.

The Delivery Support and Assurance Administrator will have the following responsibilities:

Time and Expense Management running the manual and authoriser mailboxes, processing completed cards and inputting time onto the system where necessary, dealing with complaints and queries and resolving issues with the accounts team. Offering help on the on-line timesheet portal, sending user details and user guides as needed, liaising with salesforce team, finance team and the rest of the support function on point of escalation Supplier and Sub contractor set up; adding new Requirements and Clients to JobScience. Formatting, updating and adding new candidates / client contact details / CVs formatting and Daxtra administration / documents onto Salesforce and SharePoint Billing - Raising and releasing monthly billing events for all Professional Services Clients ready for invoicing by Finance Invoicing and credit control support to the accounts team. Providing debt management support Purchase Order creation and management. Checking and adding Client Purchase Orders to the system, escalating any issues to Account Managers. Monitoring PO values and liaising with Account Managers regarding any shortfalls Procurement – setting up suppliers and purchase orders Case Management – responsible for delivering cases raises to meet SLA’s Producing contracts – creating new resources and following through with placement set up in an accurate and meeting SLAs Managing Contract end – writing and sending termination letters when contracts end Administration of Project and Placement close – ensuring that the process to close projects, placements and POs is followed Assurance and integrity of the processes and systems General Housekeeping tasks to ensure billing and invoicing continue to run smoothly Setting up of new Projects from initial opportunity to when the Project becomes active Setting up new milestones/assignments as required on Salesforce Maintaining client and contract filing systems on SharePoint Providing professional first line to support to all new starters Ad hoc administrative duties and support to the business as required Support internal initiatives as required

The ability to prioritise incoming tasks and carry them out in a time conscious manner Excellent attention to detail Excellent communication skills Flexible attitude with the ability to work under pressure Practical, good common sense with the ability to be proactive, use initiative and multitask Strong organisational and administration skills with a keen attention to detail Experience with Salesforce Knowledge of recruitment administration Good understanding of MS Office (Word, Excel, PowerPoint, Outlook) Excellent telephone manner with good customer facing skills Practical, good common sense with the ability to be proactive, use initiative and multitask Demonstrable experience of working in a fast-paced environment An understanding of billing and invoicing Able to work both independently and as part of a team

Desirable Skills & Experience:

Administration in a Professional Services and Recruitment environment, including reporting functionality and dashboard creation, all aspects of data manipulation in - Financial management tools. Ideally on the platform Demonstrable experience in a fast-paced customer service environment would be highly beneficial

This role will require you to have or be willing to go through Security Clearance. As part of the onboarding process candidates will be asked to complete a Baseline Personnel Security Standard; details of the evidence required to apply may be found on the government website If you are unable to meet this and any associated criteria, then your employment may be delayed, or rejected .
