We are currently seeking support from experienced admin staff or clinical staff who would love to learn new skills in our anti cancer treatment centres and support us in scheduling our patients treatment appointments. 

As part of this friendly and supportive team you will be fully supported to learn the skills required, enhance your knowledge in treatment regimes, referral to treatment times and how to navigate and update our electronic prescribing and patient records systems.

This role requires candidates with empathy, resilience, caring and calm qualities, communicating with patients can be very sensitive and emotional secondary to the nature of their illness, the content and complexity of information shared requires candidates to have compassion at all times. 

Due to the training required in this role candidates ideally need to be able to commit to concurrent shifts and be committed to attending them.

The role will be based in Fernhurst Unit at St Richard's Hospital

Main duties of the job

Navigating and co-ordination of all supportive therapies in the SACT Unit. Contribute to the Scheduling team as a point of contact for patients and services being referred into the SACT unit. Contribute to the timely booking and co-ordination of all supportive therapies administered in the SACT unit. Contribute to the team who act as a point of contact for all patents starting SACT and supportive therapies helping to alleviate anxieties, providing support.  To collect data on all patient contacts for audit and service development purposes and keep records of all patient supportive communications using the agreed data system ( Aria/ Care flow). Manage the referral emails and answer phone to ensure any actions needed are completed. Support SACT schedulers work and cover their annual leave. Also provide support for colleagues in Reception.

Detailed job description and main responsibilities

Role Summary

This role is a key member of the Department’s booking team, part of a team of administrators all working towards the achievement of key patient access targets for the Division. Work will include:

Coordinating the medical and supportive therapies in the SACT Unit. Contribute to the team who act as a point of contact for patients and external services to the SACT Unit.  Be responsible for the timely booking and co-ordination of all supportive treatment administered in the SACT unit. Coordinate any assessments and investigations required (which can often be at other hospital trusts) to ensure convenience for the patient and prevent any delays to their treatment, increasing the efficiency of the service. The post holder will learn about the different supportive therapies administered in the Unit and the timings that are required when scheduling patients.  Contribute to the Scheduling team who act as a point of contact for all patents starting SACT and supportive therapies, alleviating anxieties, providing support, and giving concise and accurate non-clinical information pertaining to their treatment, escalating to the nursing staff where necessary for clinical information. Develop and maintain a network of contacts across all care settings within Health and Social Care to enable them to help patients resolve any non-clinical issues they may be facing. This may often require onward referral to other professionals and discussion with the clinical team in relation to clinical issues. They will therefore have excellent communication skills and a sound knowledge of local pathways and support services. To collect data on all patient contacts for audit and service development purposes and keep records of all patient supportive communications using the agreed data system (Chemo Care / Aria/ Care flow). Maintain an updated diary for all medical bookings including deferrals or cancellations. Be responsible for ensuring all referrals are booked in priority, not date received and escalate any capacity concerns to the nurse in charge. Manage the referral emails and answer phone to ensure any actions needed are completed. Support SACT schedulers in the unit as required.
