Core Laboratories is seeking a Documentation Administrator to join our dynamic team with Saybolt. This is a unique occasion to join a fast-paced leader of innovation with strong opportunities for skills development and career progression.

Saybolt, an independent cargo survey company, is active on Commodity markets all over the world with primary focus is on crude oil, petroleum products, and petrochemicals inspection and testing. JOB PURPOSE:
The Documentation Administrator will manage documentation deliverables and compile Vessels Cargo Documents for vessels at the Valero Pembroke Refinery. This role requires precision, excellent organisational skills. The position is full-time and shift-based, including nights, weekends, and public holidays, following three days on, three days off rota schedule

ESSENTIAL DUTIES AND RESPONSIBILITIES / KEY ACCOUNTABILITIES (Other duties may be assigned):


Lading Processing:

Process Bills of Lading (BOL) for vessels using Valero’s in-house software to calculate figures. Liaise with the Terminal for necessary work coordination.

On-site Coordination:

Collaborate with Lab, Pump house, Jetty Control Room, and Surveyors to calculate figures. Ensure the documentation is ready, board or email the vessel, and get relevant paperwork signed and agreed upon with the ship’s Master. Contact the Shipping Accounts Department to dispatch files once documentation is complete.

Safety and Compliance:

Adhere to all site regulations regarding safety and PPE. Comply with Quality and HSE Procedures. Participate in the resolution of safety issues.

General Duties:

Perform any other reasonable duties as assigned by the line manager. Maintain confidentiality and handle sensitive information with discretion.

QUALIFICATIONS:

EDUCATION:

Minimum high school/secondary education or equivalent. Strong communication skills, both written and verbal. Ability to perform complex mathematical calculations (, compute flow rate, ratio, percentage, quantities—linear, volumetric, or weight—and geometrical calculations). Valid driving license and satisfactory driving record.

KNOWLEDGE:

Good knowledge of all Microsoft packages.

Self-motivated to be able to work alone and prioritise workload under pressure. Ability to work independently and as part of a team. Excellent organisational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment. Attention to detail and accuracy, with a commitment to maintaining high-quality standards.

This position is based SITE BASED with occasional office visits. Limited exposure to working on or near moving equipment and vibrating equipment. Limited exposure to noise over 85 Decibels and the light is intense/ glare. Work surfaces stable, height is elevated. Approximately equally split office/outdoors (including boarding vessels), during the day and evening, with some overnight working required. Occasional exposure to airborne dust in the workplace. Work surfaces stable (flat).
