Main duties of the job

We have an exciting opportunity for an Apprentice Medical Secretary to join our dedicated team within the Rheumatology department, based within Outpatients East Block at the Norfolk and Norwich University Hospital (NNUH). Our dedicated clinical team are at the forefront of innovation and work collaboratively as a multi-disciplinary team to strive for excellence in patient care.

The Rheumatology team is comprised of doctors, nurses and administration staff. We are seeking an enthusiastic and motivated person to learn various roles within this busy view the attached job description for full details of the post, and make sure to refer to the job specification when submitting your application

You will work alongside our existing team of secretaries, Receptionists, Waiting List Coordinator and Patient Focussed Bookings teams learning the various roles and be supported by the Administration Managers throughout your apprenticeship.

Job responsibilities

Deal efficiently and effectively with direct and indirect ( telephone, face to face) enquires from patients, all levels of medical and nursing staff, GPs, Social Services and other health professionals and staff. Respond to enquiries, providing routine and non-routine information and non-clinical advice, resolving problems where possible. Communicate appropriately with patients who may be fearful, aggressive or have sensitive concerns needing reassurance and who may present difficulties in communication terminally ill patients, deaf patients, mentally ill patients and elderly confused patients. Assist patients and their carers by arranging translation/interpretation facilities via INTRAN. Attend to all communications, for example, emails, investigation results on a daily basis Accurately transcribe all correspondence by touch typing from audio dictation using knowledge of medical terminology. Generate routine and non-routine correspondence independently. Make Outpatient appointments in response to urgent referrals and AMU referrals, overbooking clinics as necessary. Obtain patients case notes and test results as necessary. Contribute to the accurate maintenance of same by incorporating results, correspondence etc. as specified by Trust Policy. Frequent bending, lifting and transportation of heavy, bulky case notes (average weight of clinic notes handled is 17 kilos, excluding the weight of the trolley) throughout the day.
