Purpose of the Job

The Student Support & Wellbeing Administrator supports the Student Support & Wellbeing Administration Hub Manager in the efficient operation of a busy reception, the overall administration and co-ordination of services.

The post will also take responsibility for a specific area of administration and support within the Administration Hub Team.

Main Duties and Responsibilities

Working with other staff, provide a bilingual, accessible, calm and supportive reception function (face to face, email and telephone) for students, staff and members of the public. This includes assessing the needs of students to respond appropriately, including an awareness of responding to presenting risk.

Provide initial information and guidance on complex processes and procedures.

Provide accurate information and guidance, based on a sound knowledge of university student support, making effective referrals as appropriate.

Contribute to the management of complex service diaries, making appointments for students according to prioritised need.

Accurately input data into specialist databases used for collating statistical information of a confidential nature.

Input, update and maintain data within specialist databases ensuring accuracy and confidentiality.

Contribute to the production and distribution of Student Support & Wellbeing publicity and leaflets; paper-based and electronic.

Assist with groups, workshops and courses this may involve developing programme publicity.

Monitor and maintain stocks of specialist resources.

Provide general administrative support to Student Support & Wellbeing teams, as led by the Administrative Hub Lead.

Any other duties appropriate to the grade as required by line management.

Other Duties and Responsibilities

The post holder will be expected to participate in performance review and developmental activities.

The post holder must comply with relevant legal and financial policies and procedures and be aware of their responsibilities in terms of the legal requirements of their posts.

Person Specification

Qualifications / Training

Essential

Minimum of 5 GCSEs at grades A* - C (incl. English and Maths), NVQ level 3 / Advance Diploma in a relevant subject area or equivalent experience.

Desirable

NVQ level 4 or above in a relevant subject area.

ECDL Certificate.


Experience/Knowledge

Essential

Experience of providing an excellent supportive client / customer reception function.

Experience of working within an office / administrative environment.

Experience of using a range of administrative systems and procedures.

Understanding of confidentiality and Data Protection Act requirements with experience of recording student data and other confidential information securely and in line with legislation.

Understanding of and commitment to a model of student support that promotes the independence of our students in order to best prepare them for their future study or career goals.

General understanding of the barriers faced by students presenting with a wide range of complex needs.

General experience of responding to issues of safeguarding and risk. Desirable Experience of working within an HE environment.

Skills/Abilities

Essential

Good communication and interpersonal skills, with the ability to deal sensitively and calmly with stressful situations.

Excellent organisational skills and ability to handle a varied and demanding workload, prioritise tasks and meet deadlines working in busy reception and office environments.

Excellent IT skills with the ability to learn new systems and ensure accurate data entry and attention to detail.

Ability to use initiative to be able to assess the presenting situation and make appropriate referrals, being mindful of both confidentiality and issues of boundaries.

Ability to work co-operatively as part of a practice sharing team across Student Support & Wellbeing and Student Services as a whole.

Essential

The ability to speak Welsh fluently and carry out tasks such as writing emails in Welsh to a variety of audiences is essential for this post.
