ROLE OVERVIEW
As a core member of the Live team, you will work cross-functionally with technical production, creative, and other stakeholders, to plan and execute next level events that we know our clients will love, on time and on budget. You can expect your role to touch event design, experience, content and operations. You will be skilled in translating briefs into language that different departments understand and know a little about a lot.
You will lead project teams with passion and enthusiasm, or lead an area of a larger project with the same outlook. You will collaborate with internal teams, suppliers and clients whilst keeping all relevant senior members in the loop and updated on key details from initial concept through to the final implementation and debrief.
KEY RESPONSIBILITIES
PROJECT MANAGEMENT
- Project manage high-quality, creative and complex events from briefing, design and planning through to onsite delivery. This will involve gaining a full understanding of the client’s aims and objectives and close management of all aspects of the project across the entire project delivery team. Ensure that all project outcomes and requirements meet the brief. i.e red thread is evident throughout.
- At times, own a complex area of a larger-scale project, maintaining strong collaboration with the event’s Executive Producer and wider team.
- Work with the Resource Manager to scope, plan and onboard your project team. Have a broad understanding of the roles (and time) required on a mix of project types.
- Lead and contribute to project meetings and communications with both internal and external stakeholders throughout the project cycle.
- Work collaboratively with other departments to deliver projects to a high standard and in line with client requirements and budget.
- Create and adhere to internal critical paths, client deadlines and supplier deadlines, delegating responsibility and authority whilst still managing deadlines across the entire project team.
- Develop production briefs in collaboration with colleagues and clients, and understand effectively how to translate creative ideas into reality.
- Hold a good knowledge of A/V, managing A/V requirements for projects and collaborating with the Production Director for larger-scale events.
- Source venues and suppliers with strong negotiating skills (price, services, scope, timings etc), managing and understanding contracts, highlighting key information internally and to clients.
- Be able to create branding scope & deliverables briefing documents specific to each venue, collaborating with the design team.
- Coordinate site visits and create reports for internal and client usage.
- Understand the processes for supporting stakeholders with content design and production, in partnership with the creative team and external partners. Ensure pre-production prep and all onsite documents and schedules are accurate and ready to go.
- Lead or support on-site delivery. Staying in constant communication with clients, colleagues, suppliers and venue staff to ensure the smooth running. Being ready to problem solve, and pivot plans quickly to create an event our client (and you) are proud of.
- Work collaboratively with technical production to ensure all on-site standards are met. (i.e built items, decor etc)
- Ensure we are compliant in all areas. Including but not limited to brand guidelines, SLA’s, GDPR.
- Gather and share post-event feedback and learnings within the team and suppliers. Holding internal debriefs and using the learnings for future planning and guidance
- Fully understand, follow and implement internal processes and importantly ensure they are being followed by other junior members of the team.
- Propose new ideas to improve the event planning and delivery process with a proposal of how they could be applied.
FINANCE
- Budget management for projects of all different sizes and in various currencies (quotes, POs, payment schedules, invoice processing).
- Demonstrate a proactive approach to budget management. Ensuring we stay within requirements. Being ready to preempt and mitigate any issues.
- Be a time management guru. Ensure all timesheets are accurate and submitted on time.
- Capable with ‘scope creep’ principles and ensuring our time charged matches the time spent, particularly when client requirements change.
- Accurate budget reconciliation, keeping a keen eye on your profit margins.
CLIENTS
- Foster strong relationships with clients at all levels, understanding how our support can make their lives easier.
- Lead (and support the business development team when required) in all aspects of client relations from taking the initial brief, through to idea generation, proposals, client calls and being part of the dream team on-site.
- Support on RFP’s, specifically assisting with budgeting and supplier communication.
GENERAL
- Keep your industry knowledge fresh, up-to-date and expanding.
- Mentor, ready to assist, motivate and guide where needed and always be thinking about your team. Offering them the support they need to grow their skills and thrive.
Requirements
REQUIRED EXPERIENCE, SKILLS AND ATTITUDE
- Demonstrated prior experience in an events agency environment managing projects and in a client-facing role
- Excellent written and verbal communication skills
- Impeccable organisation skills with the ability to prioritise effectively
- Very strong project management and decision-making skills
- Proficient in managing project budgets
- Has a creative eye and may wish to learn how to use design software for basic tasks
- An ability and willingness to travel for site inspections and event delivery
- Experience in the following is preferable; PROCIM, Google Docs
