Job summary

Grove House Surgery is a local practice of three Partners offering a high quality service to over 9200 patients and is a family friendly run practice. We have been a practice for 100 years+ and whilst the building is an example of Victorian architecture our care and service is definitely 21st Century.

We are looking to recruit a dynamic experienced medical receptionist/care navigator to join our enthusiastic and talented team.

Previous experience in a similar healthcare environment is essential

Main duties of the job

To be responsible for undertaking a wide range of reception and administrative duties as well and provision of administrative support to the wider multi disciplinary team.

Duties can include but are mot limited to, greeting and directing patients, effective use of the appointment system, booking appointments and processing information (electronic and hard copy) in a timely manner and assisting patients as required.

To act as the central point of contact for patients, distributing information, messages and enquiries for the clinic team, liaising with multi-disciplinary team members and external agencies such as local hospitals, community service providers in accordance with current policies including the electronic referral service.

Job responsibilities

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied form time to time under the direction of the Practice Manager depending on the current and evolving workload and staffing levels:

Opening up/locking-up of Practice premises and maintaining security in accordance with Practice protocols Maintaining and monitoring the Practice appointments system Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional Taking messages and passing on information Processing of incoming emails Completion of tasks and allocating blood results Filing and retrieving paperwork Processing repeat prescriptions in accordance with Practice guidelines Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures Processing online consultation requests, both medical and administrative Scanning and coding of clinical correspondence Franking of outgoing mail Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers Providing clerical assistance to Practice as required from time to time, including word/data processing, filing and photocopying. Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter Person Specification

Demonstrable commitment to self development ECDL or other IT qualification
